Overview

Use Stock to review product stock by Warehouse. Sales representatives, account managers, project managers, purchasing officers, warehouse managers, and finance users can consult this view when they need to assess product availability before progressing a sales, purchasing, or project-related decision.

The Stock (By Product) view presents stock records with columns including Warehouse, Product, Latest Supplier, Stock, Available Stock, and Committed Stock. Use it when you need a current product-level view rather than a quotation, Direct order, Buyout, or Job Profitability record.

Settings

Before reviewing stock, set up a layout that shows the columns your role requires. Layout settings control how the Stock list is displayed; they do not change the underlying stock records.

  1. Open Sales, then select Stock (By Product) to open the Stock list.

  2. Decide whether to use an existing layout or create one for your work:

    • Select Layout (icn icn-layoout) to access layout options.
    • Select Add Layout to create a new layout.
    • Enter a value in Layout name to identify the layout.
    • Select Columns Chooser to choose the columns displayed in the list.
    • Select Save to retain the new layout, or select Cancel to discard it.
  3. When working with an existing layout, make your decision before saving:

    • Select Update Current to save changes to the current layout.
    • Select Delete Current if the current layout is no longer required.
    • Use Delete only when you intend to remove the selected item from the layout action.

Tip: Create a layout that keeps Warehouse, Product, Stock, Available Stock, and Committed Stock visible when you regularly check availability for sales or project requirements.

Warning: Deleting a current layout removes the layout selection. Confirm that you no longer need the layout before selecting Delete Current.

Workflow

  1. Sign in when the system displays the login fields. Enter your credentials in Enter User Name and Enter Password, then select Login.

  2. Open the stock list from the Sales application. Select Sales, then select Stock (By Product).

  3. Review the list at the decision point: Do you need to find a particular product or warehouse?

    • To review all displayed records, read the Warehouse and Product columns and compare the displayed stock-related quantities.
    • To find a specific item, enter a search term in Search box.
    • To narrow the displayed list, select Filter (icn-filter) and apply the available filtering options.
    • Select Previous Page when you need to return to the preceding page of results.
  4. Assess the displayed stock record before making a sales, purchasing, Warehouse, or PM decision:

    • Use Warehouse to identify the stock location.
    • Use Product to identify the item being reviewed.
    • Review Latest Supplier where supplier information is displayed.
    • Review Stock, Available Stock, and Committed Stock as the stock quantities shown for the product.
    • If the product or Warehouse is not the one required, return to Search box or Filter (icn-filter) and revise the list criteria.
  5. Decide whether the current display is suitable for ongoing use:

    • If the displayed columns support your review, continue using the current layout.
    • If you need different columns, select Columns Chooser, make the required selection, and select Update Current to keep the changes to the active layout.
    • If the change is only for a different type of review, select Add Layout, provide a Layout name, and select Save.
  6. Refresh the review when you need the current displayed information. Select Update (icn-update), then reassess the values in the Stock list.

Note: Stock is a review view. The available controls support searching, filtering, updating, and configuring the list layout; no stock adjustment, reservation, receipt, delivery, or transfer action is provided on this screen.

Examples

A sales representative needs to check whether Corrosion Inhibitor Base Plat is available in the 6th Of October Warehouse before discussing a customer requirement.

  1. The sales representative selects Sales, then opens Stock (By Product).

  2. In Search box, the representative searches for
    Corrosion Inhibitor Base Plat
    .
  3. The representative reviews the matching record and confirms the relevant Warehouse is
    6Th Of October
    .
  4. The representative compares the values displayed under Stock, Available Stock, and Committed Stock. The representative uses the available quantity shown in the list as the value to consider for the sales discussion and also checks the committed quantity before making a commitment.

  5. The representative needs a clearer view of the stock values for future checks. The representative selects Layout (icn icn-layoout), selects Add Layout, enters
    Sales Stock Review
    in Layout name, selects Columns Chooser, and retains the Warehouse, Product, Stock, Available Stock, and Committed Stock columns.
  6. The representative selects Save. For later reviews, the representative can use the saved layout and select Update (icn-update) before relying on the displayed figures.

Tips

Tip: Search by a distinctive product name or Warehouse name to reduce the number of records you need to review.

Note: Check both Available Stock and Committed Stock when evaluating a product for a customer requirement. These are separate values in the Stock list and should be reviewed together.

Warning: Do not assume that a product shown in Stock is available for a new requirement without checking its Warehouse and the displayed available and committed quantities.

Troubleshooting
