Principal Invoices

Overview

The Principal Invoices application provides a list-based workspace for reviewing principal-related invoice records within Account Invoices. Finance officers, account managers, and project managers use it when they need to review invoice information by job, client, principal, invoice date, shipment date, and displayed amounts.

Use this page to select the relevant invoice scope, apply a suitable list layout, review the displayed records, and export the current list when required. The available screens do not provide actions to create, approve, post, or edit an invoice; they support viewing, organizing, refreshing, filtering, and exporting invoice information.

Settings

Before working with the list, set up a layout that displays the columns your team needs.

  1. Open the Principal Invoices workspace and select Layout (icn icn-layoout) to manage the list layout.

  2. Decide whether to use the supplied layout or a saved layout:

    • Select Standard Layout to return to the standard column arrangement.
    • Select Add Layout to create another layout.
    • Enter a descriptive value in Layout name.
    • Select Save to save the new layout.
    • Select Cancel if you do not want to keep the changes.
  3. Choose which information should appear in the list by selecting Columns Chooser. Use this option when you need to focus on invoice identifiers, job information, client and principal details, dates, notes, or amounts.

  4. When updating an existing saved layout, select Update Current. If the current layout is no longer required, select Delete Current, then confirm with Delete where prompted.

Tip: Use a clear layout name that identifies its purpose, such as “Principal Invoice Review” or “Monthly Export.” This makes it easier to select the correct view when several layouts are available.

The available invoice list includes information such as Job no., Invoice No., Client, Principal, Invoice date, Shipment date, Note, and displayed monetary amounts. Configure the layout around the information needed for your review or export.

Workflow

Access the invoice list

  1. If the system displays the sign-in screen, enter your credentials in Enter User Name and Enter Password, then select Login.

  1. Open Account Invoices from the available application navigation.

  2. Choose the invoice scope that matches your task:

    • Select All when you need to review the available invoice records without limiting the view to the Sales Invoices category.
    • Select Sales Invoices when your review concerns sales invoice records.
    • Select Commission Invoices when the available invoice category for your work is commission invoices.

Note: The screen provides separate invoice categories, but it does not show a control for moving an invoice between categories. Use the category selection to review the records already available in that view.

Decide how to review the records

  1. Review the invoice rows shown in the list. Use the displayed columns to identify the relevant record by details such as job number, invoice number, client, principal, invoice date, shipment date, note, and amounts.

  1. If you need a narrower result set, select Filter (icn-filter) and apply the available filter controls. Use filtering before exporting or reviewing a large list so that the displayed records match your current purpose.

  2. If the displayed list needs to be reloaded, select Refresh (icn-update).

Tip: Refresh the list before relying on invoice amounts or dates for a review or export, particularly after changing the selected invoice category or filter.

Decide whether the current layout is suitable

  1. If the required columns are already visible, continue reviewing the list using the current layout.

  2. If important information is not visible, select Columns Chooser and adjust the layout. Save the arrangement with Update Current when you are updating a saved layout, or create a separate layout through Add Layout and Save when the view is needed for a different purpose.

  3. If the current arrangement is not useful and you do not want to retain changes, select Standard Layout to use the standard view.

Finish with an export, when required

  1. When the displayed records and columns are ready for distribution or further review, select Export.

  2. Treat the exported result as the output of the current list view. Before exporting, confirm that you have selected the correct invoice category, applied the intended filter, and displayed the required columns.

Warning: Export reflects the records currently shown in the list. Verify the selected category and layout before exporting so that the output contains the intended invoice information.

Examples

A finance officer needs a working list of principal invoice information for a review of sales-related jobs.

  1. The finance officer signs in using Enter User Name and Enter Password, then selects Login.

  2. From Account Invoices, the finance officer selects Sales Invoices because the review concerns sales invoice records.

  3. The officer selects Refresh (icn-update) to reload the list before reviewing it.

  4. The officer reviews the list using the available information, including job number, client, principal, invoice date, shipment date, and displayed amounts. For example, the officer can identify a sales invoice associated with job

  5. To prepare an export-oriented view, the officer selects Columns Chooser and ensures that the required invoice identification, client, principal, date, and amount columns are visible.

  6. The officer selects Add Layout, enters

    in Layout name, and selects Save.
  7. The officer selects Export to produce the current sales invoice list using the selected columns and current results.

This process produces a consistent review and export view without changing the invoice records themselves.

Tips

Tip: Use All only when you need a broad invoice review. Select Sales Invoices or Commission Invoices when the task requires a specific invoice category.

Note: Saved layouts are useful when different teams need different invoice details. For example, a finance review may require displayed amounts, while a project review may focus on job, client, principal, and dates.

Warning: Select Delete Current only when the current saved layout is no longer needed. The action concerns the layout, not the invoice records displayed in the list.

Troubleshooting
