Buyouts List

Overview

The Buyouts List provides a working list of sales buyout records, including package and sales job references, purchaser, offer type, bid due date, and sub-supplier information. Sales representatives, Account Managers, purchasing officers, and project managers use this list to locate and review buyout-related sales records during daily follow-up.

Use the list when you need to find a specific package, review records by purchaser or bid due date, adjust the list layout for your role, or export the displayed information for further analysis.

Settings

Before working with the list regularly, select a layout that presents the information most useful for your responsibilities. The available layout controls allow you to use the standard layout, create a named layout, update the current layout, or remove an unwanted layout.

  1. To use the default column arrangement, select Standard Layout.

  2. To create a personal or task-specific layout, select Add Layout. Enter a value in Layout name, then select Save.

    Use a clear name that identifies the purpose of the layout, such as “Purchaser Follow-up” or “Bid Due Dates”.

  3. To control the information displayed in the list, select Columns Chooser. Review the available column choices and retain the columns required for your work.

    The list can display information such as Package no., Sales job No., Purchaser, Offer type, Bid due date, and Sub-supplier.

    Tip
    Keep only the columns required for the decision you are making. A focused layout makes it easier to review bid deadlines and purchaser assignments.

  4. When you have adjusted an existing layout and want to retain the changes, select Update Current.

  5. If you decide not to retain a new or edited layout, select Cancel instead of saving it.

  6. To remove a layout that is no longer required, select Delete Current, then confirm with Delete when prompted.

    Warning
    Use Delete Current only after confirming that the current layout is no longer needed. The screen provides both Cancel and Delete so that you can stop the deletion before confirming it.

Workflow

Use the following workflow to locate buyout records, decide whether the current list presentation is suitable, and produce an export when required.

  1. Start with the information you need to review.
    Review the visible buyout columns to identify the type of record you need, such as a package number, sales job number, purchaser, offer type, bid due date, or sub-supplier.

If the current columns already support your review, continue to search or export the list. If essential information is not visible, use Columns Chooser and update the layout before continuing.

  1. Decide whether to find a specific group of records or review the current list.
    To narrow the displayed records, enter relevant text in Search. Use identifiers and values that are visible in the list, such as a package number, sales job number, purchaser name, offer type, or sub-supplier.

    If you are reviewing all available buyouts, leave Search empty and work from the full list.

    Note
    Search terms should reflect information shown in the list. For example, use a known Sales job No. when following up on a particular sales job rather than relying only on a general description.

  2. Decide whether the current layout is reusable.
    If the current layout is suitable only for the immediate review, use it without saving changes. If you need the same columns again, choose one of the following actions:

    • Select Add Layout, complete Layout name, and select Save to create a new named layout.
    • Select Update Current to retain changes to the layout currently in use.
    • Select Standard Layout to return to the standard presentation.

  3. Review the resulting records before taking action outside the list.
    Check the displayed package and job references, purchaser, offer type, bid due date, and sub-supplier details. Use the list to identify records that require sales or purchasing follow-up, such as records assigned to a particular purchaser or records with an approaching bid due date.

    The available screens show the list and an individual sales record form. Use the list as the review point and the sales record form when you need to inspect an individual record’s available data.

  4. Decide whether you need an external copy of the displayed list.
    Select Export when you need to take the currently displayed list information outside the application for reporting, review, or sharing.

    Before exporting, confirm that Search and the selected layout show the records and columns you intend to include.

    Tip
    Apply your search and select the required columns before using Export. This reduces unnecessary information in the exported result.

  5. Refresh the list when you need the latest displayed result.
    Select icn-update to update the list view. Recheck the visible records after updating, especially when you are monitoring purchaser assignments or bid due dates.

Examples

A purchasing officer needs a concise working list for reviewing firm offers assigned to a purchaser before upcoming bid due dates.

  1. The purchasing officer opens the Buyouts List and reviews the standard columns, including Package no., Sales job No., Purchaser, Offer type, Bid due date, and Sub-supplier.

  2. Because the officer needs to focus on a particular purchaser, they enter the purchaser’s name in Search.

  3. The officer confirms that the visible columns include the purchaser, offer type, bid due date, and sub-supplier. If one of these is not visible, they select Columns Chooser and adjust the list presentation.

  4. Since this review will be repeated each week, the officer selects Add Layout, enters “Firm Offer Review” in Layout name, and selects Save.

  5. The officer reviews the resulting records and identifies the buyout packages that require follow-up based on their visible bid due dates and sub-supplier details.

  6. The officer selects Export to create an external copy of the filtered working list for the follow-up meeting.

Tips

Tip
Use Package no. and Sales job No. as precise references when coordinating between Sales, Purchasing, and project teams.

Note
A layout is most effective when it supports one review purpose. For example, a purchaser-focused layout may differ from a layout used by an Account Manager reviewing sales jobs.

Warning
Review the current search result before exporting. An active value in Search can limit the records shown in the list.

Troubleshooting
