Warehouse

Overview

Use Warehouse records to maintain warehouse location and administration details in the application. Warehouse and inventory managers use these records when establishing or updating a warehouse, while purchasing, sales, project, and finance users may rely on the recorded warehouse information during operational work. Create a record when a new warehouse location must be recorded, or revise an existing record when its description, administrator, or address changes.

Workflow

  1. Open the Warehouse application and select Warehouses to view warehouse records. Create a new warehouse record.

  2. Identify the warehouse.

    • Enter a clear Display Name for the warehouse.
    • Enter a Description to distinguish the location from other warehouses.
    • Select the applicable Store type.
    • Set the Store Admin for the warehouse.
    • Complete Shotec S.A.E where applicable.

    Tip: Use a consistent naming convention for warehouse display names so that users can distinguish locations easily.

  3. Record the warehouse destination and address details.

    • Enter the Destination Title.
    • Complete Country, State, City, Street, and Zip-code as appropriate for the warehouse location.
  4. Decide whether supporting documentation is needed.

    • To add a file, use Attach or drag the file to or Drop a file here.
    • Use Select to choose a file when prompted.
    • Select Ok to confirm the attachment action.

    Note: Attach documents that help users identify or administer the warehouse, such as location information or operational documentation.

  5. Decide how to finish the record.

    • Select Save to save the warehouse and remain on the record.
    • Select Save and Close to save the warehouse and return to the warehouse list.
  6. When warehouse details change, open the existing record from Warehouses, revise the relevant fields, and select Save or Save and Close.

Examples

Create a warehouse for a regional storage location:

  1. Open Warehouse and select Warehouses. Create a new record.
  2. Enter Display Name as Cairo Central Warehouse.
  3. Enter Description as Main storage location for Cairo sales and project deliveries.
  4. Select the appropriate Store type and assign the responsible user in Store Admin.
  5. Enter Destination Title as Cairo Central Warehouse Receiving.
  6. Complete the address:
    • Country: Egypt
    • State: Cairo Governorate
    • City: Cairo
    • Street: 15 Industrial Zone Road
    • Zip-code: 11511
  7. Use Attach to add a warehouse location document, if available.
  8. Select Save and Close. The warehouse record is saved and you return to the warehouse list.

Tips

Tip: Keep the Display Name concise and location-specific, especially when the company operates multiple warehouses.

Note: Review the Store Admin whenever warehouse responsibility changes.

Warning: Save address changes promptly so warehouse users work from current location details.

Troubleshooting
