QC at a glance
QC is the warehouse quality-control surface for reviewing received items before the next warehouse step. It sits beside receipt work, inspection work, and stock follow-up.
| If you need to… | Go to |
|---|---|
| Reach the quality-control list | Find the QC list |
| Read the list and change its visible layout | Read and arrange the QC list |
| Review receipt and inspection information | Review receipt and inspection details |
| Choose the correct receipt or inspection path | Handle receipt and inspection branches |
| Finish an inspection and continue warehouse work | Finish the inspection and continue |
| Correct a blocked action | Resolve validation and errors |
| Continue with a neighbouring warehouse task | Continue warehouse work |
The page is headed Quality Control and groups its work under Receiving. The list can show the
item's sales-job number, product, quantities, unit, stage, receipt number, and inspection number.
Before you start
Before you work with an item, make sure the warehouse record and its receipt or inspection record are available. The detail areas use the saved record to decide which tabs, fields, and actions you can use.
Prerequisites
| Have this ready | Why it matters here |
|---|---|
| An identified warehouse record | The receipt, inspection, and warehouse detail areas require the record to exist. |
| Receipt information | The receipt area changes according to whether the item came from a purchase order or a delivery note. |
| Inspection information | Inspection fields and the release action appear only when the inspection record is available. |
| Permission to edit the record | Save, Re-inspect, and Defect depend on the record being editable. |
| Your company's inspection configuration | Stock Type is required only where your company configures it. |
| No unsaved inspection changes | Finish and release to stock appears only after the inspection is saved and unchanged. |
Required fields are conditional on the detail area. The following fields are required when their corresponding area is active.
| Area | Required fields |
|---|---|
| Warehouse details | Areas, Qty, In Stock, and Position where the matching stock-product form is active |
| Receiving shipment | Recieved by |
| Inspection details | GRN No. and Sub-supplier when a received order exists |
| Inspected product | Ordered Qty., Received Qty., Accepted qty, and Rejected qty |
| Defect | Defect |
| Attachment category | Category when an attachment category is being edited |
With these conditions ready, find the QC list.
Find the QC list
The QC list is the place to start when you need to review warehouse items already in the quality-control area.
Prerequisites
- You have access to the warehouse quality-control area.
Steps
- Select Quality Control.
- Confirm that the page title reads
Quality Control. - Confirm that the list section reads
Receiving. - Read the headers shown in the list.
- Select the header control that matches your task.
| If you need to… | Select |
|---|---|
| Reload the list | Refresh |
| Arrange the columns | Table Layout |
| Open list settings | Settings |
The list can be empty. In that case, the page displays No data; there is no record row to open
from the list.
Result: You can see Quality Control and Receiving, and know whether a row is available to
review. Next, read and arrange the QC list.
Read and arrange the QC list
The QC list is a grid whose visible headers come from the list layout selected for your company. Work from the headers that are actually shown rather than expecting every possible header in every layout.
The current list shows these columns:
| What you need to check | Header |
|---|---|
| Sales reference | Sales job no. |
| Item description | Product and Description |
| Storage location | Area and Position |
| Order and receipt quantities | P.O.s, Received Qty, Accepted qty, and Rejected qty |
| Measurement | Unit |
| Warehouse progress | Stage |
| Receipt and inspection references | GRN and Inspection No. |
The available header controls depend on your list configuration. The list may show Refresh, Table Layout, and Settings.
Prerequisites
- You are on the QC list.
- The list has finished loading.
Steps
- Read the visible headers to identify the sales reference, item, quantities, location, stage, receipt, and inspection reference.
- Select Refresh when you need to reload the list.
- Select Table Layout to open the layout controls.
- Select one of Standard Layout, Save New Layout, Update Current, Delete Current, Columns Chooser, or Expand column width.
| If you need to… | Select |
|---|---|
| Return to the standard column arrangement | Standard Layout |
| Save a new arrangement | Save New Layout |
| Change the current saved arrangement | Update Current |
| Remove the current saved arrangement | Delete Current |
| Choose which columns are available | Columns Chooser |
| Change a column's width | Expand column width |
- Select Settings when you need the list's settings control.
The list can still display No data while its layout controls are open. Read the headers shown by
the selected list layout.
The available layout controls depend on your list configuration. The menu may also expose
Expand column width while the same columns and No data remain visible.
Result: You can read the columns shown by your QC list and use the layout controls without leaving the QC surface. When a row is available, continue to review its receipt and inspection details.
Review receipt and inspection details
Receipt details record how the warehouse received the item. Inspection details record who checked it, the quantities accepted or rejected, and any defect information that accompanies the inspection.
The detail panels can also include Product, Description, Stocked By, Stocked On, Note, and Unit in warehouse details. File work can include Library name, File Name, Links, and Comment. These fields appear only on their matching detail or popup path.
Prerequisites
- You have opened a warehouse item from the QC list.
- The relevant receipt or inspection detail area is available.
- You have the receipt and inspection information needed for the fields shown.
Steps
- Review Recieved by and Recieved on in the receiving-shipment details.
- Review Sub-supplier and Sub-supplier shipment no. when the receipt is from a purchase order.
- Review the text Sub-supplier field when the receipt is from a delivery note.
- Review Inspected by, Inspected on, GRN No., Sub-supplier shipment no., and Sub-supplier in the inspection details.
- Review Checklist, Documents, and Comment when those areas are present.
- Review each inspected product's Product, Ordered Qty., Received Qty., Accepted qty, and Rejected qty.
- Review Defect and Defect Category when the inspection has a defect area.
- Select the control that matches the saved-record detail you need.
| If you need to… | Select |
|---|---|
| Review comments | Comments |
| Review the receiving record | Receiving sheet |
| Review the inspection record | Inspection sheet |
| Review transfer movements | Transfer history |
| Review saved changes | Last Modifications |
- Select Save after changing receiving-shipment information.
- Select Consider PO As Not Received when the saved purchase order must be returned to its not-received path and the record has no unsaved changes.
Result: You have reviewed the receipt, inspection, quantities, defects, comments, and saved-record details available for the item, and can choose the receipt or inspection branch that applies.
Handle receipt and inspection branches
The receipt type and the item's saved state change which controls are available. Use the branch that matches the item rather than entering information from a different receipt type.
Prerequisites
- The receipt or inspection record is open.
- The record state satisfies the action's condition.
- You have edit access for actions that change the record.
Steps
- Use the matching branch:
| If the item is… | Work with… |
|---|---|
| From a purchase order | Sub-supplier and Sub-supplier shipment no. in the purchase-order receipt area |
| From a delivery note | The text Sub-supplier field in the delivery-note receipt area |
| An inspected product with company-configured stock rules | Stock Type where the company configuration requires it |
| A rejected item that can be inspected again | Re-inspect |
| An editable inspection with defect information | Defect |
| A saved inspection that is unchanged and not released | Finish and release to stock |
- In a received-products grid, select Package, Unitized, Split, or Delete, as shown in the table below.
| If you need to… | Select |
|---|---|
| Group products into a package | Package |
| Mark products as unitized | Unitized |
| Divide one row into items | Split |
| Remove a row | Delete |
- In a split-item area, select the exact item action that matches your task.
| If you need to… | Select |
|---|---|
| Add an item | + Item |
| Restore the item values | Reset Item |
- In an inspection, select Inspection template when the saved inspection and printing permission allow it.
- In the file area, select the control for the document action you need.
| If you need to… | Select |
|---|---|
| Attach a file | Attach File |
| Open a file | Open |
| Download a file | Download |
| Rename a file | Rename |
| Delete a file | Delete |
| Retry an attachment operation | Try Again |
| Change file tags | Add/Remove tags |
| Export the file list | Export |
- When a popup asks for a decision, select No, Yes, Ok, or Cancel according to the choice shown.
Result: You have followed the receipt and inspection branch that matches the item's source, record state, permissions, and available detail area. The item is ready for the finish action when its conditions are met.
Finish the inspection and continue
Finishing an inspection releases its accepted warehouse work to the next stock step. A rejected item follows the re-inspection path when that action is available.
Prerequisites
- The inspection record is saved.
- The inspection has no unsaved changes.
- The items have not already been released to stock.
Steps
- Review the accepted and rejected quantities in the inspection details.
- Select Re-inspect when rejected products exist and the record is editable, then complete the re-inspection details that appear.
- Select Finish and release to stock when the inspection is saved, unchanged, and not yet released.
Result: The available inspection completion action has been selected, or the item is ready for the registered warehouse page that owns its next step.
Resolve validation and errors
When an action stops, use the exact message to identify the information that needs attention.
| Message | What to check |
|---|---|
Your request was completed successfully | The requested action completed. Continue to the next warehouse step. |
An error occurred while processing your request | Review the record values and try the action again. |
Check mandatory field(s) | Complete the required fields in the active detail area. |
Package products cannot be empty | Check that the package contains product rows before continuing. |
You have products with no decision regarding accepted or rejected quantity | Enter an accepted or rejected quantity decision for every product. |
Please enter the storage area and position for each product | Complete Areas and Position for each product that requires storage information. |
Position is required | Complete Position before saving the warehouse details. |
Shipment is empty. Please enter received quantity | Enter the received quantity for the shipment. |
Received quantity is greater than order quantity | Check Received Qty. against the order quantity before saving. |
The message Just '_'‘-''.' And '&' Characters Accepted belongs to the Files page, not QC.
Out of scope
| Message | Owning page |
|---|---|
Just '_'‘-''.' And '&' Characters Accepted | Files |
Result: You have matched the message or blocked interaction to the field, quantity, package, or layout action that needs attention.
Continue warehouse work
After QC review, continue on the warehouse page that owns the next action rather than repeating the same review on the list.
| If you need to… | Continue with |
|---|---|
| Follow the overall warehouse handover | Warehouse fulfillment flow |
| Work with receipt notes | Goods receipt notes |
| Work with incoming inspection notes | Incoming inspection notes |
| Follow items awaiting warehouse work | Upcoming stock |
Result: You know which registered warehouse page owns the next action after QC review.
