Configure customers, products, and invoices

What this administration page covers

This page brings together the administration surfaces used before customer invoicing work begins: Invoices, Payments, Products, Customers, Bank Accounts, and e-Faktur. The six destinations mirror the customer-facing invoicing area.

An administration surface is the destination where you inspect or adjust one class of accounting record.

The invoice view labels columns including Invoice Date, Tax Excluded, Total, and Total in Currency. The payment view labels columns including Customer and Payment Currency. The product view labels its columns Product Name, Sales Price, and Unit. The e-Faktur view labels its calculated column Total Available.

Before you start

Prerequisites

  • Know which of the six destinations matches the change you need to make.
  • Have access to the accounting destination that contains the record.
  • Check the record state before choosing an action. Invoice actions vary by state, and payment actions vary by payment state and cancellation state.
  • Check whether the work depends on an account group, payment type, product-variant access, country, or bank-account validation permission.

Steps

  1. Choose the destination that matches the record type.
  2. Check the fields and conditions listed in Understand the fields and conditions.
  3. Continue to Configure record actions when the destination and record state match the action you need.

Find and open an administration surface

Use the destination that matches the record you need to review.

Prerequisites

  • Know whether you are looking for an invoice, payment, product, customer, bank account, or e-Faktur range.
  • Have access to the Accounting menu.

Steps

  1. Open the Accounting menu.
  2. Select one destination from the table.

  1. Check the landed screen title against the destination you selected.
  2. If the expected title is not on screen, follow Troubleshoot an empty or blocked surface.

Result: You have opened the selected destination, or you have a concrete screen-title failure to troubleshoot. Continue with Understand the fields and conditions.

Understand the fields and conditions

These fields identify the commercial and accounting information named by the six surfaces. The conditions determine which information and actions apply to the record you are viewing.

The product Attributes & Variants area is available only for the product-variant access branch. Product barcode visibility changes with the number of variants. e-Faktur invoice fields depend on Indonesia context, and customer tax information depends on country and tax-registration state.

Configure record actions

Record actions move an invoice or payment through an accounting operation, open a related view, or configure product information. Choose the action that matches the record state shown on screen.

  • Open the relevant record surface.
  • Confirm the current invoice or payment state before selecting an action.

Handle configuration-dependent branches

Configuration-dependent branches change which fields or actions are available. Check the branch before changing a record so the action matches the company configuration and record state.

Prerequisites

  • Know the record type and current state.
  • Know whether the record belongs to Indonesia, uses product variants, or uses a bank-account validation workflow.

Steps

  1. Choose the row that matches the record and branch you are handling.

Bank accountCheck that the bank-account validation permission applies before changing its trust setting.

Result: You have selected the branch that matches the record and the company configuration. Continue with Troubleshoot an empty or blocked surface if the expected action or field is absent.

Troubleshoot an empty or blocked surface

Use this procedure when a destination does not display the expected title, fields, columns, or actions.

Prerequisites

  1. Check the landed address and title after opening the destination.
  2. Choose the row that matches the screen you see.

/web with no expected titleCheck the selected destination and open it again from the Accounting menu.
An empty pageReturn to the Accounting menu and open the destination again.
The Apps menu opens instead of the requested surface and shows Menu Style, Font Type, Preloader Option, Theme Colors, Brand Color, Background Color, Sidebar Color, Chatter Position, Save, and Reset To Default.Return to the Accounting menu and open the selected destination again.
High riskReview the bank-account information before using it for an outgoing payment.

  1. If the expected page still does not appear, record the failed screen title and continue with the page that owns the next task.
