Invite Project Collaborators

Invite the people who help create, review, maintain, and support your project. Adding the right collaborators gives writers, reviewers, engineers, and support contributors access to the project work they need without requiring them to locate the project on their own.

Overview

Project collaboration begins from the project area in Atloria. You can use the Projects workspace to find the relevant project, then open its dashboard before managing access.

An invitation gives a collaborator a link to join the project. After you send the invitation, the recipient opens the invitation link and completes the access process in Atloria. Use invitations when you need to add a new contributor, bring in a reviewer for a specific release, or give a support contributor access to help with project documentation.

Before you invite someone, decide what they need to do in the project. For example, writers may need to work on user guides, reviewers may need to review project changes and versions, engineers may need access to technical documentation, and support contributors may need access to support-related project information. Only invite people who need access to the project.

Prerequisites

Before you start, make sure you have:

  • Access to the Atloria Workspace and the Projects area.
  • Permission to manage access for the project you want to share.
  • The correct project selected from the project list.
  • The collaborator’s current email address or approved organization identity.
  • A clear understanding of the access the collaborator requires, such as writing, reviewing, engineering, or support work.
  • Approval from your organization’s project owner or access administrator, if your organization requires it.

Step-by-Step Instructions

  1. Select Projects from the Workspace navigation.

  2. Use Search projects... to locate the project when it is not immediately visible in the project list.

  3. Select the project you want to share.

  4. Click Open Project Dashboard to open the selected project.

  5. Open the project’s access or collaborator management area.

  6. Start a new collaborator invitation from the access management area.

  7. Enter the collaborator’s email address or organization-approved account identity in the invitation form.

  8. Select the access option that matches the collaborator’s intended work.

  9. Confirm the project name shown in the invitation before you send it.

  10. Add an optional message that explains why you are inviting the person and what work you expect them to perform.

  11. Send the invitation.

  12. Tell the collaborator to open the invitation link they receive and sign in to Atloria with the intended account.

  13. Return to the project’s access management area to confirm that the collaborator has joined the project.

  14. Remove or change the collaborator’s access when their project work is complete.

Tips and Best Practices

  • Invite people to the correct project. If you work across several projects, start from Projects and verify the project dashboard before sending an invitation.

  • Use Search across all projects... when you need to find project-related information beyond the current project, and use Search projects... when your goal is simply to locate a project from the project list.

  • Match access to the contributor’s task. For example, invite writers when they need to work on User Guides, reviewers when they need to inspect changes or versions, engineers when they need project technical documentation, and support contributors when they need to assist with project support work.

  • Keep invitations limited to active contributors. Review project access regularly, especially after a release, documentation handoff, contractor engagement, or support escalation ends.

  • Ask recipients to use the same Atloria account they expect to use for future project work. This helps avoid access being associated with an unintended account.

  • Do not share invitation links in public channels. Treat an invitation link as project-access information and send it only to the intended recipient.

  • If you are no longer working in the project, use ← Back to Projects to return to the project list before selecting another project.

Troubleshooting

I cannot find the project I need to share

Go to Projects and use Search projects.... If you still cannot find the project, confirm that you are in the correct Workspace and that you have access to the project.

I cannot manage collaborators or send an invitation

You may not have permission to manage project access. Contact the project owner or your organization’s access administrator and ask them to send the invitation or update your permissions.

The collaborator cannot use the invitation

Ask the collaborator to open the invitation link while signed in with the account they intend to use for Atloria. If the invitation is no longer valid or was sent to the wrong identity, send a new invitation from the project’s access management area.
