The Buyouts list provides a consolidated view of buyout records used to source and purchase goods or services for sales jobs and projects. Sales representatives, account managers, project managers, purchasing officers, and warehouse or inventory managers can use the list to review package and sales job references, purchasers, offer types, bid due dates, and sub-supplier information.
Use this view when you need to locate a buyout, focus on a subset of records, refresh the displayed data, or adapt the visible columns for your daily work.
Settings
Before working with the list regularly, set up a layout that shows the information relevant to your role. The available layout controls allow you to name a layout, choose its columns, save it, update the current layout, or remove a layout that is no longer required.
If the sign-in page is displayed, enter your credentials in Enter User Name and Enter Password, then select Login.
List
To create a reusable list arrangement, select Add Layout.
Enter a descriptive value in Layout name. Use a name that identifies the intended purpose, such as
Purchasing Bid Dates
or
Project Buyout Review
.
Select Columns Chooser to review the columns available for the layout. Keep columns that support your review, such as Package no., Sales job No., Purchaser, Offer type, Bid due date, and Sub-suppli.
Select Save to save the layout, or select Cancel to abandon the current layout changes.
Tip: Use a role-specific layout when possible. For example, a purchasing officer may prioritise purchaser and bid due date information, while a project manager may prioritise package and sales job references.
When you change an existing layout, select Update Current to apply the changes to the current layout.
When a layout is no longer needed, select Delete Current. An additional Delete action is also available; verify what is selected before using it.
Warning: Deleting a layout can remove the arrangement you rely on for daily review. Confirm that you are deleting the intended layout before proceeding.
Workflow
Open the Buyouts list from Sales. Review the records displayed in the list before applying any restriction.
The list presents buyout-related records with columns including Package no., Sales job No., Purchaser, Offer type, Bid due date, and Sub-suppli. Use these values to identify the job or procurement package that requires attention.
Decide whether you need the full list or a focused subset.
To review all currently displayed buyouts, remain in the list without applying a filter.
To narrow the displayed records, select Filter (icn-filter) and apply the available filtering criteria.
To return to the complete working list, remove or adjust the filter using the filter control.
Use filtering when your work is driven by a particular purchaser, sales job, offer type, or bid due date.
Decide whether the list information is current enough for your decision.
If the displayed records are sufficient, continue reviewing the list.
If you need to retrieve the latest displayed information, select Update (icn-update).
Review the refreshed list and reassess the relevant buyout records using their visible package, job, purchaser, offer, date, and supplier details.
Decide whether the current column arrangement supports your task.
If the current columns provide the information you need, continue working in the existing layout.
If additional or different information is needed, select Layout options (icn icn-layoout), then use Columns Chooser to adjust the layout.
Select Save for a new layout or Update Current for changes to the active layout.
Use the application navigation only when your next task belongs to another work area. The available application areas include Dashboard, Reports, My Desk, Sales, PM, Purchasing, Warehouse, Finance, Tasks, Activities, and Data.
The Buyouts list remains the appropriate working view when you are reviewing procurement activity associated with sales jobs and project packages.
Note: The list provides visible buyout information for review. The available screen controls do not show a record confirmation, approval, refusal, or completion action; do not infer a buyout lifecycle state from the list alone.
Examples
A purchasing officer needs to review buyouts with approaching bid dates for a sales job.
Open the Buyouts list from Sales.
Review the Sales job No. column to identify records associated with the relevant job. Confirm the related Package no. and Purchaser values so that you are reviewing the correct procurement responsibility.
Select Filter (icn-filter) and narrow the list to the relevant sales job or purchaser, using the filtering criteria available on screen.
Review the resulting records, focusing on Offer type, Bid due date, and Sub-suppli. For a competitive procurement review, use Offer type to distinguish the type of offer and use Bid due date to prioritise work due soon.
Select Update (icn-update) if you need to refresh the list before reporting or continuing with the buyout activity.
If bid-date review is a recurring task, select Add Layout, enter
Bid Due Date Review
in Layout name, select Columns Chooser, and retain the columns needed for this review. Select Save.
The purchasing officer can now use the saved layout to review the relevant buyout records consistently and focus on package, job, purchaser, offer, due-date, and sub-supplier information.
Tips
Tip: Refresh the list with Update (icn-update) before making time-sensitive decisions based on bid due dates.
Tip: Keep layout names specific and task-oriented so that users can identify the correct view quickly.
Warning: The list header includes shortened visible text such as Sub-suppli. Use the displayed list values together with the other columns to identify the correct buyout record.
