- By the end of this path you can use specialised record views to support buyout, letter-of-guaranty, and survey work.
Prerequisites
- Access to the Sales record app and the relevant sales work areas.
- Permission to view and, where required, create or edit Sales records.
- Familiarity with your organisation’s sales, buyout, and guaranty processes.
- Access to the company and sales areas if your workflow requires entering the Sales record app through those areas.
Module 1: Find the right record workspace
Goal: Learn how the Sales record app is organised so you can begin work in the appropriate area rather than searching through unrelated records.
Lesson 1.1: Start from the Sales record workspace
When you need to work with sales-related records, first open the central Sales record workspace. Use this workspace as the starting point for locating the type of record that matches your task, such as general sales work, buyouts, letters of guaranty, or surveys.
You may also encounter Sales record work through the sales area. Use the available entry point in your organisation, then confirm that you are working in the Sales record area appropriate to the request.
Practice task: Open the Sales record workspace and identify the area you would use for a general sales-record task.
Lesson 1.2: Distinguish sales work from buyout work
A customer or internal request may concern a standard sales record or a buyout-specific record. For buyout work, open buyouts rather than treating it as a general sales-record task. This helps ensure that the record is handled in the buyout context.
When you need to examine buyout records already in progress, use the Sales record view. This is the appropriate place to review existing buyout record data before deciding whether a record needs updating.
Practice task: Open buyouts, then open the buyout Sales record (with data) view to review an existing record.
Module 2: Create sales-related work
Goal: Create the right kind of new record for a new sales, buyout, or letter-of-guaranty request.
Lesson 2.1: Create a new general sales record
When a new sales activity requires a record, begin from the new-record workflow available in the Sales record app. Use the Sales record screen to initiate the new sales-related work, following your organisation’s process for the information required in the record.
After creating the record, use the relevant sales record view to confirm that the work is available for review and follow-up.
Practice task: Open Sales record and begin creating a record for a new sales request.
Lesson 2.2: Create a buyout record for a buyout-specific request
When the request is specifically for a buyout, create it from the buyout creation workflow rather than from a general sales workflow. Open Sales record and create the buyout record according to the request details available to you.
This separation is important because the buyout process has its own records and later review and editing views.
Practice task: Open Sales record and start a new buyout record.
Lesson 2.3: Create a letter-of-guaranty record
When a sales process requires a letter of guaranty, use the dedicated creation screen: Sales record. This keeps guaranty-related work within its specialised workflow and makes it easier to locate later.
Create the record only when the request is confirmed as a letter-of-guaranty task rather than a standard sales or buyout activity.
Practice task: Open Sales record and begin a new letter-of-guaranty record.
Module 3: Review and maintain active records
Goal: Locate existing records, review their current data, and make updates in the correct editing context.
Lesson 3.1: Review an existing sales record before taking action
Before changing a record, review what is already present. Open Sales record to inspect an existing general sales record. Use this review step to understand the current state of the record and determine whether follow-up, correction, or no action is needed.
If your task is tied to a company relationship, use company as the relevant organisational context before proceeding with sales-record work.
Practice task: Open Sales record and review an existing sales record before deciding what action is needed.
Lesson 3.2: Update a general sales record
When an existing general sales record requires maintenance, open it in Sales record. Confirm that you are editing the intended record, make the required update according to your business process, and review the record after the change.
Use this editing screen for general sales-record maintenance rather than for buyout or letter-of-guaranty records.
Practice task: Open Sales record and perform an authorised update to an existing sales record.
Lesson 3.3: Update a buyout record in its specialised editor
When a buyout record needs correction or follow-up, begin by reviewing it in Sales record (with data). Then open the appropriate record in Sales record to make the required changes.
Using the buyout-specific editor helps you keep buyout work separate from general sales record maintenance.
Practice task: Review a buyout in Sales record (with data), then open Sales record for an authorised update.
Module 4: Manage specialised and periodic sales work
Goal: Use specialised record views for letters of guaranty and survey-related review, and apply the right follow-up workflow.
Lesson 4.1: Review and maintain letters of guaranty
When you need to check the status or contents of an existing letter-of-guaranty record, open Sales record. Review the existing record before making a change.
If an update is needed, use Sales record. Keeping review and editing as separate steps reduces the risk of changing the wrong guaranty record.
Practice task: Open Sales record, review a record, and identify whether it requires an update in Sales record.
Lesson 4.2: Review survey-related sales records
Survey-related sales activity may require periodic review rather than immediate editing. Open Sales record to review the available survey-related Sales records and identify records that need business follow-up.
Use the survey record view for review and prioritisation, then follow your organisation’s approved process for any subsequent sales action.
Practice task: Open Sales record and select one record that would require follow-up.
