Overview

The Buyout To Order list provides a working view of packages and sales jobs that are to be ordered within Project Management. Purchasing officers, project managers, and account managers use it to review package and job references, assigned purchasers, offer types, bid due dates, and sub-supplier information before continuing their buyout work.

Use this list when you need to find a specific package, review the available buyout records, apply a preferred column arrangement, or export the displayed information for operational follow-up.

Settings

Before working with the list regularly, select or create a layout that displays the columns your role needs. Layout settings affect how the list is arranged; they do not change the underlying buyout records.

DeleteDeletes the selected layout item when available in the layout action.

Tip: Create a layout that shows the information you review most frequently, such as Package no., Sales job No., Purchaser, Offer type, and Bid due date.

Workflow

  1. Open the Buyout To Order list from Applications, then select PM and To Order (MRQ).

    The list displays buyout-related package records. Review the visible columns to identify the package and sales job you need to work with. Typical list information includes package number, sales job number, purchaser, offer type, bid due date, and sub-supplier.

  2. Decide whether you need the standard list arrangement or a role-specific layout.

    • To return to the default arrangement, select Standard Layout.
    • To work with a different layout, select Layout options (icn icn-layoout) and choose the required layout action.
    • To adjust which information is shown, select Columns Chooser and choose the columns required for your review.

    Use the list layout to focus on the decision information relevant to the current buyout activity. For example, a purchaser may prioritise purchaser assignment and bid due date, while a project manager may focus on package and sales job references.

  1. If the required arrangement does not already exist, create and save a new layout.

    1. Select Add Layout.
    2. Enter a clear value in Layout name.
    3. Select Columns Chooser and set the required visible columns.
    4. Select Save to retain the layout, or select Cancel to abandon the changes.

    Use a descriptive layout name so that users can distinguish layouts created for purchasing review, project follow-up, or reporting preparation.

    Note: Layout changes control the presentation of the list. They do not amend the package, job, purchaser, or supplier information shown in the records.

  2. When reviewing an existing layout, decide whether to keep, update, or remove it.

    • If the layout is suitable, continue using it to review the listed records.
    • If you have changed its columns or arrangement, select Update Current to save the revised current layout.
    • If the current layout is no longer required, select Delete Current. Where the layout action displays Delete, use it to delete the selected layout item.

    Confirm that you have selected the intended layout before using a delete action.

  3. Find the required buyout record and prepare the list for follow-up.

    1. Enter a package number, sales job number, purchaser name, offer type, bid due date, or other available list value in Search.
    2. Review the filtered results against the displayed columns.
    3. Select Refresh (icn-update) when you need to refresh the list view.
    4. Select Export when you need an exported copy of the displayed list information.

    Search before exporting when you need to limit the output to a particular package, job, purchaser, or due-date group.

    Warning: Review the active layout and search results before selecting Export. The usefulness of the exported list depends on the columns and records currently displayed.

Examples

A purchasing officer needs to review buyout packages assigned to a particular purchaser before upcoming bid due dates.

  1. Open PM, then select To Order (MRQ) to display the Buyout To Order list.

  2. Select Layout options (icn icn-layoout). The officer finds that the current layout does not show the required combination of package, purchaser, offer type, bid due date, and sub-supplier information.

  3. Select Add Layout and enter
    Purchaser Due Date Review
    in Layout name.
  4. Select Columns Chooser and configure the layout to display Package no., Sales job No., Purchaser, Offer type, Bid due date, and Sub-supplier. Select Save.

  5. In Search, enter the purchaser name to reduce the list to the relevant packages. Review the bid due dates and the sub-supplier values for the returned records.

  6. Select Export to produce a working copy of the filtered list for the purchaser’s buyout follow-up.

The officer can later return to the same presentation by selecting the saved layout, or use Standard Layout when the standard list arrangement is required.

Tips

Tip: Use Search with a package number or sales job number when you need to locate a specific buyout item quickly.

Note: Use Update Current only when you intend to change the layout currently in use. Use Add Layout when you need to preserve the current arrangement and create a separate view.

Warning: Do not use Delete Current merely to reset a layout. Select Standard Layout when you need the standard presentation instead.

Troubleshooting
