Teams provide a central list of team records within the Security Section. Use this page to review existing teams, create a new team, manage its members, and maintain the team list used across the platform. This feature is relevant to users who need to organize people into operational groups for Sales, PM, Purchasing, Warehouse, Finance, or other business functions.
Settings
Before working with team records, you can control how the Teams list is displayed by using the available layout tools.
On the Teams list, select Standard Layout to return to the standard list arrangement.
To create a personal list arrangement, select Add Layout, enter a Layout name, and use Columns Chooser to select the columns you need.
Select Save to keep the layout. To change an existing layout, select it in Select..., make the required changes, and select Update Current.
If a saved layout is no longer required, select it in Select... and select Delete Current.
Note: Use layouts to focus the Teams list on the information that is most useful for your role, such as Team Leader, Members, Department, Target, or Active status.
Workflow
Review, search, or filter teams
Open Security Section, then select Teams. Review the available team records in the list, including Team Leader, Members, Department, Target, and Active information.
To locate a specific record, enter search criteria in Search or use Search box. Select Select... and then Select when a selection control is available.
If you need to narrow the displayed results, use Apply filter from the team workspace.
Teams — Security Section › Teams › Teams
Tip: Search before creating a team to avoid maintaining duplicate team records with similar names or members.
Create a team
From the Teams list, select New.
In the new team workspace, use Select... and select Select where required to choose available values for the team record.
Teams — Security Section › Teams › Teams
Decide whether the team requires members now:
To add or review team members, select members. The member area shows team member names and a count.
To leave membership for later, continue without selecting members.
If supporting material is required for the team record, select Attach. Use Ok to confirm the attachment action when prompted.
Decide how to finish the new record:
Select Save to save the record and remain in the current workspace.
Select Save and Close to save the record and return to the Teams list.
Warning: Do not close the record before selecting Save or Save and Close if you need to retain your changes.
Maintain an existing team
From the Teams list, locate the required team using Search or Search box, then open the team record.
Use members to review the team member list and its displayed count. The associated Users view is available from the Teams navigation path for user-related records.
Select Save to retain updates while continuing to work, or select Save and Close to retain updates and exit the record.
Consolidate duplicate teams
From the Teams list, identify team records that should be consolidated.
Select Merge teams to begin the merge action.
Review the selected team records before completing the merge. Use the available selection controls, including Select... and Select, where presented.
Save the resulting record using Save or Save and Close.
Remove a team or list layout
When a team record is no longer required, locate and open the appropriate record from the Teams list.
Select Delete to remove the selected record.
If you only need to remove a saved list arrangement rather than a team record, select the layout in Select... and use Delete Current.
Examples
A Sales manager needs a team record for an after-sales group.
The manager opens Security Section and selects Teams.
The manager uses Search to check whether an after-sales team already exists. After confirming that a separate team record is required, the manager selects New.
In the new team workspace, the manager uses Select... and Select to choose the required available values.
The manager selects members and reviews the team member area. The displayed count initially shows no members, so the manager uses the available membership workspace to establish the team’s member list.
The manager selects Save and Close. The team is saved and the manager returns to the Teams list, where it can be located later through Search.
If a duplicate team is later found, the manager returns to the list, selects Merge teams, and completes the consolidation using the available selection controls.
Tips
Tip: Use a clear, consistent team name so that users can find the correct record quickly through Search.
Tip: Use Save when you need to continue reviewing members or attachments. Use Save and Close only when the team record is complete for the current task.
Note: Use Columns Chooser and saved layouts to make the Teams list easier to review without changing team records.
