## Overview

The QC application provides a working view of quality-control-related records associated with sales jobs, products, purchase orders, received quantities, and accounts. Sales representatives, project managers, purchasing officers, warehouse managers, and finance users can use it to locate records relevant to their responsibilities and organise the displayed information for review or reporting.

Use QC when you need to review quality-control information across Contacts and Products, narrow the list to a particular job or product, or export the currently displayed information.

## Settings

Before reviewing QC records, set up a list layout that displays the information you need for your role. The QC screen provides layout controls for selecting a standard layout, creating a new layout, updating the current layout, and choosing visible columns.

1. Open **QC** from Applications.

2. Decide whether to use the standard layout or a tailored layout.
   - Select **Standard Layout** to return to the standard list arrangement.
   - Select **Add Layout** when you need a separate saved arrangement for a particular review purpose.
   - Enter a descriptive value in **Layout name** for the layout you are creating.

3. Select **Columns Chooser** to review the available list columns and choose the columns required for your QC review. The visible QC list includes headings such as Sales job no., Product Description, Area, Position, P.O.s, Received Qty, and Acc.

4. Save your decision.
   - Select **Save** to save the layout.
   - Select **Update Current** to apply changes to the currently selected layout.
   - Select **Cancel** if you do not want to keep the changes.

> **Tip:** Use a clear layout name that reflects its purpose, such as “Warehouse Receipt Review” or “Project QC Review,” so that users can identify the appropriate view quickly.

5. When a saved layout is no longer required, select **Delete Current**. If the screen presents the general delete action, select **Delete** to complete the removal.

> **Warning:** Deleting a layout removes the saved arrangement. Confirm that you are deleting the intended layout before using **Delete Current** or **Delete**.

## Workflow

Use the QC screen as a review and reporting workflow: choose the relevant view, locate the required records, decide whether the displayed layout is suitable, and export the result when an external copy is needed. The available screen controls do not provide a documented action for changing a QC record from one tab to another; use the tabs to review the records shown in each view.

1. Begin the review by opening **QC** from Applications and selecting the appropriate working view: **contacts** or **products**.

2. Locate the required records by entering a term in **Search**. Use terms that identify the information you need to review, such as a sales job number, product description, purchase order reference, area, position, or account-related value.

   **Decision: Are the results sufficiently focused?**
   - If yes, continue reviewing the displayed records.
   - If no, revise the value in **Search** and run the search again.
   - Use **Previous Page** or **Page 1** when navigating through the available result pages.

3. Decide whether the current list arrangement supports the review.
   - If the required information is visible, keep the current layout.
   - If required information is missing, select **Columns Chooser** and adjust the visible columns.
   - If you need to retain the revised arrangement, use **Update Current** or create a saved arrangement with **Add Layout**, **Layout name**, and **Save**.
   - Select **Standard Layout** when you need to return to the standard display.

4. Refresh the displayed information when you need the latest available list data by selecting **Refresh (icn-update)**.

5. Decide whether the review must be shared or used outside the application.
   - If the QC list is only needed on screen, retain the filtered view for review.
   - If you need an output of the displayed list, select **Export**.

> **Note:** Export only after applying the required search and layout choices, because the screen does not show a separate export-filter step.

## Contacts

The **contacts** tab contains QC-related records presented in a list view for contact or account-oriented review. Use this tab when you need to assess records in relation to Accounts, including the sales job, associated product information, purchase order information, received quantity, and account-related list values.

Use **Search** to narrow the displayed contact-related records and **Columns Chooser** to show the headings required for the review. The available controls do not identify an action that moves a record into or out of the **contacts** tab; this tab is therefore used to view and organise the records displayed there.

## Products

The **products** tab contains QC-related records presented for product-oriented review. Use this tab when the primary review question concerns the product, its description, the related sales job, area, position, purchase orders, or received quantity.

Search within the view using **Search**, then use the list headings to compare the relevant product-related information. The available controls do not identify an action that moves a record into or out of the **products** tab; use the tab to review the records available in this view.

## Examples

A warehouse manager needs a list of QC-related records for a received product on a project.

1. Open **QC** and select the **products** tab.

2. Enter the product description or sales job number in **Search** to limit the list to the relevant project and product.

3. Review the visible information, including Product Description, Sales job no., Area, Position, P.O.s, and Received Qty. If the account-related column is required for the review, select **Columns Chooser** and include the appropriate visible column.

4. The manager decides that this combination of columns will also be useful for future receipt checks. Select **Add Layout**, enter **Warehouse Receipt Review** in **Layout name**, and select **Save**.

5. After confirming that the filtered list contains the required records, select **Export** to produce an external copy of the current QC view for the project review.

## Tips

> **Tip:** Use the **products** tab for product and receipt-oriented checks, and use the **contacts** tab when the review is centred on Accounts or contact-related records.

> **Tip:** Keep searches specific by using an identifying value already shown in the list, such as a sales job number, product description, area, position, or purchase order reference.

> **Warning:** Do not assume that changing the visible columns changes the underlying QC records. **Columns Chooser** changes the list presentation available on the screen.

## Troubleshooting

| Symptom | Likely cause | Fix |
|---|---|---|
| The required QC record is not visible. | The current search term is too restrictive, or the record is on another result page or tab. | Revise or clear **Search**, check **contacts** and **products**, and use **Previous Page** or **Page 1** as needed. |
| The list does not show the information needed for the review. | The current layout does not include the required heading. | Select **Columns Chooser**, adjust the visible columns, then select **Update Current** or save a new layout. |
| A revised layout is not available for later use. | The changes were not saved. | Use **Save** for a new layout or **Update Current** for an existing layout. |
| The list appears out of date. | The displayed view may need to be refreshed. | Select **Refresh (icn-update)** and repeat the search if necessary. |
