## Overview

Use the Purchasing list to review purchasing records and locate the items that require attention. Purchasing officers can search and filter records by purchasing status, then review key details such as package number, sales job number, purchaser, offer type, bid due date, and sub-supplier. You can also save a personal list layout or export the displayed results for further analysis.

## Workflow

1. Open **Purchasing** from the main application menu to display the purchasing list.

2. Decide which purchasing records you need to review:
   - Select **Planned (BOM)** to focus on records planned from a bill of materials.
   - Select **To Order (MRQ)** to focus on records that require ordering.
   - Select **All** to return to the complete purchasing list.

   The list displays purchasing information including package number, sales job number, purchaser, offer type, bid due date, and sub-supplier.

3. To locate a specific record, enter a value in **Search**, then select **Apply filter**. Use identifiers such as a package number, sales job number, purchaser, or supplier-related text to narrow the list.

   > **Tip:** Start with the sales job number or package number when reviewing Buyouts for a particular job.

4. Review the filtered results and open the required purchasing record for its form details.

5. When the displayed list requires a different set of information, select **Columns Chooser** and choose the columns needed for the review. Use the resulting layout to compare purchasing records consistently.

6. Decide whether to keep the list arrangement:
   - To create a reusable view, select **Add Layout**, enter a value in **Layout name**, and select **Save**.
   - To save changes to the active layout, select **Update Current**.
   - To return without saving a new layout, select **Cancel**.
   - To remove a saved layout that is no longer needed, select **Delete Current**, then confirm with **Delete**.
   - To return to the default arrangement, select **Standard Layout**.

   > **Note:** Use a named layout when you regularly review the same purchasing columns, such as purchaser, bid due date, and sub-supplier.

7. When the filtered list is ready for external review or reporting, select **Export** to export the displayed records.

8. Where applicable, select **buyout-to-order** to work with the available Buyout-to-order action for the selected purchasing context. Select **Tickets** when you need to access the available ticket action.

## Examples

A purchasing officer needs to review Buyouts that are ready to be ordered for sales job `18.0156`.

1. Open **Purchasing** and select **To Order (MRQ)**.
2. Enter `18.0156` in **Search** and select **Apply filter**.
3. Review the matching record, including its purchaser, offer type, bid due date, and sub-supplier.
4. Open the purchasing record to review its form details.
5. Select **Columns Chooser** if the current list does not show the details required for the review.
6. If this view will be used repeatedly for order preparation, select **Add Layout**, enter `Orders for review` in **Layout name**, and select **Save**.
7. Select **Export** if the filtered records must be shared or analyzed outside the application.

## Tips

> **Tip:** Apply a filter before exporting so that the export contains only the purchasing records relevant to the current review.

> **Warning:** Select **Delete Current** only when the active saved layout is no longer required. This action is followed by **Delete**.

> **Note:** **Standard Layout** restores the standard list arrangement without requiring you to manually adjust the displayed columns.

## Troubleshooting

**The expected purchasing record is not displayed.**  
Likely cause: A purchasing status filter or search value is limiting the list.  
Fix: Select **All**, clear or revise **Search**, and select **Apply filter** again.

**The list does not show the information needed for review.**  
Likely cause: The current layout does not include the required columns.  
Fix: Select **Columns Chooser**, adjust the displayed columns, then use **Update Current** or create a layout with **Add Layout**.

**Changes to a new layout were not retained.**  
Likely cause: The layout was not saved.  
Fix: Select **Add Layout**, provide a **Layout name**, and select **Save**.
