## Overview

Use the Purchase List to review purchase-related records and organize them by sales job, purchaser, offer type, bid due date, and sub-supplier. Purchasing officers and project teams can use the list to find relevant buyouts, apply filters, manage layouts, export displayed information, and initiate the available buyout-to-order action.

## Workflow

1. Open the purchase list from **Purchasing**.

   Review the available purchase records using the displayed columns, including package number, sales job number, purchaser, offer type, bid due date, and sub-supplier.

2. Decide whether the standard column arrangement is sufficient.

   - Select **Standard Layout** to return to the standard list arrangement.
   - Select **Columns Chooser** when you need to choose which columns are displayed.
   - Select **Add Layout** when you need a separate saved arrangement for a particular review activity, such as tracking bids by purchaser or due date.
   - Enter a name in **Layout name**, then select **Save**.

   > **Tip:** Use a clearly descriptive layout name so that colleagues can identify the intended list arrangement.

3. Decide whether to keep or revise a saved layout.

   - After changing an existing layout, select **Update Current** to save the changes to the current layout.
   - Select **Delete Current** when the current saved layout is no longer required.
   - Select **Cancel** to leave the layout action without saving changes.

   > **Warning:** Select **Delete Current** only when you intend to remove the active saved layout.

4. Decide whether you need to narrow the records shown.

   Enter your criteria in **Search**, then select **Apply filter**. Review the resulting records before taking a follow-up action.

5. Decide what to do with the filtered or reviewed records.

   - Select **Export** when you need an exported copy of the displayed list information.
   - Select **buyout-to-order** when the reviewed buyouts are ready to be handled as an order.
   - Select **Tickets** when you need to work with tickets from the purchase list.
   - Select **Delete** when you need to remove a record from the list.

   > **Note:** Apply filters before exporting or using a list action so that you work with the intended set of purchase records.

6. Open a purchase record when you need to review its form details.

## Examples

A purchasing officer needs to review firm offers for sales job `18.0106` before progressing relevant buyouts.

1. Open **Purchasing** and review the Purchase List.
2. Enter `18.0106` in **Search** and select **Apply filter**.
3. Review the matching record’s purchaser, offer type, bid due date, and sub-supplier information.
4. If the officer wants to focus future reviews on the same information, select **Add Layout**, enter `Sales Job Offer Review` in **Layout name**, and select **Save**.
5. When the buyout is ready to proceed, select **buyout-to-order**.
6. If a copy of the reviewed list is required for follow-up, select **Export**.

## Tips

> **Tip:** Use **Standard Layout** when a saved layout no longer provides the view needed for general purchase-list review.

> **Note:** Use **Update Current** for changes to an existing saved layout; use **Save** after creating a layout with **Add Layout**.

> **Warning:** Review filtered results before selecting **Delete** or **buyout-to-order**.

## Troubleshooting

| Symptom | Likely cause | Fix |
|---|---|---|
| The required purchase record is not visible. | The current search or filter criteria exclude it. | Clear or revise **Search**, then select **Apply filter**. |
| The list does not show the columns needed for review. | The current layout does not include the required columns. | Select **Columns Chooser**, or select **Standard Layout** to restore the standard arrangement. |
| Layout changes are not retained. | The updated layout was not saved. | Select **Update Current** for an existing layout, or use **Add Layout**, enter **Layout name**, and select **Save**. |
