# Shipping Order

## Overview

Shipping Order provides a working list of shipping order records within Projects Management. Use it to review shipping order sheets, locate records by their displayed reference information, and create or save a new shipping order form when it is available in your workflow. Project managers and operational users can use the list to identify records by sheet number, order date, responsible PM, client order number, or job number.

## Settings

The available Shipping Order configuration controls the way the record list is displayed. Before working with a large number of records, set up a layout that shows the columns most useful for your role.

1. Open **PM**, select **Projects Management**, and then select **Shipping Order**.

2. Decide whether to use the default list presentation or a saved layout:
   - Select **Standard Layout** to use the standard column arrangement.
   - Select **Add Layout** to create a separate layout for your own working needs.
   - Enter a value in **Layout name** to identify the layout.
   - Use **Columns Chooser** to choose the columns displayed in the Shipping Order list.
   - Select **Save** to save the layout.

3. When you change an existing layout, select **Update Current** to save the changes to the current layout. To discard layout changes before saving, select **Cancel**.

> **Note:** Layout settings control the list presentation only. They do not change the Shipping Order records themselves.

4. If a saved layout is no longer required, select **Delete Current**, then select **Delete** when you decide to remove it.

5. Use the **Settings icon (icn icn-settings)** or the **Layout icon (icn icn-layoout)** when these controls are available to access list display options.

## Workflow

Shipping Order does not display a status field or lifecycle stages in the available screens. The workflow is therefore based on the decisions you make while locating records, making a selection on the new form, attaching files, and choosing how to save the form.

### 1. Review or locate an existing Shipping Order

Open the Shipping Order list to review the records currently available.

The list can display the following reference columns:

| List column | Use |
|---|---|
| Sheet no. | Identifies the shipping order sheet. |
| Order date | Shows the order date. |
| P.M Responsible | Shows the responsible PM. |
| Client order no. | Shows the customer order reference. |
| Job no. | Shows the related job reference. |

Use **Search** when you need to narrow the list. Enter a known reference, such as a sheet number, client order number, or job number, and review the matching rows.

**Decision: use the current list layout or change it?**

- If the visible columns provide the information you need, continue using the list.
- If important references are not visible, use **Columns Chooser** and save the revised presentation with **Update Current**, or create a separate layout with **Add Layout**.

> **Tip:** Search by the most specific reference available, such as the job number or sheet number, to reduce the number of matching records.

### 2. Refresh the list before acting on a record

When you need to review the latest list display, select the **Refresh icon (icn-update)**.

Use this especially after saving a Shipping Order or when you expect a record to appear in the list. The screen does not provide a separate record status filter in the available controls, so use **Search** and the displayed columns to identify the record you need.

### 3. Make the available selection on a new Shipping Order form

When the new Shipping Order form is opened in your workflow, use the available selection control before saving the record.

1. Select **Select...** to open the available selection.
2. Choose the required available value.
3. Select **Select** to apply the selection.

The supplied screen does not identify the business meaning of the **Select...** field. Use the values presented by the application and confirm that you have selected the intended item before saving.

**Decision: continue with the selected value or revise it?**

- To continue, keep the selected value and proceed to file attachment or saving.
- To revise the choice, use **Select...** again and make the correct selection before saving.

If you need to access the available ticket-related action while working on the form, select **Tickets**. The supplied screen does not specify how Tickets affects the Shipping Order, so confirm the applicable process within your organization before relying on it as part of the record workflow.

### 4. Decide whether to attach supporting files

Attach files when the Shipping Order needs supporting documentation.

1. Select **Attach**.
2. Add the required file or files.
3. Review the attached entries in **Files (files[])**.

**Decision: save with or without files?**

- If supporting documentation is required for your process, verify that it appears in **Files (files[])** before saving.
- If no file is required, continue without an attachment.

> **Warning:** Confirm that the intended file is visible in **Files (files[])** before closing the form. The available screen provides no separate attachment status or verification field.

### 5. Save the Shipping Order

After making the required selection and attaching any applicable files, choose how to complete the save.

- Select **Save** when you want to save the Shipping Order and remain on the form.
- Select **Save and Close** when you want to save the Shipping Order and close the form.
- Select **Ok** only when the application presents it as the action to acknowledge or complete the current dialog.

**Decision: remain on the form or finish the task?**

- Choose **Save** if you need to review the saved form, add files, or make another available change.
- Choose **Save and Close** when the Shipping Order is complete for the current task.

After saving and closing, return to the Shipping Order list and use **Search** to confirm that the record can be located using its available reference information.

## Examples

A project manager needs to prepare a Shipping Order for job `J24.2041` and retain a supporting shipping document.

1. Open **PM** > **Projects Management** > **Shipping Order**.
2. In the list, enter `J24.2041` in **Search** to check whether a related Shipping Order is already displayed.

3. When the new Shipping Order form is available, select **Select...**, choose the appropriate available value, and select **Select**.

4. Select **Attach** and add a supporting file named `J24.2041_shipping_document.pdf`. Confirm that the file is listed in **Files (files[])**.
5. Select **Save** if you need to remain on the form and verify the saved information. Otherwise, select **Save and Close** to complete the task.
6. Return to the list, select the **Refresh icon (icn-update)** if necessary, and use **Search** to locate the saved record by its available job, sheet, or client order reference.

## Tips

> **Tip:** Create a dedicated layout when your role requires a consistent combination of Sheet no., P.M Responsible, Client order no., and Job no.

> **Note:** Use **Standard Layout** when you want to return to the system’s standard list presentation after working with a custom layout.

> **Warning:** Do not use **Delete Current** unless you intend to remove the current saved layout. This action concerns the layout, not the Shipping Order record list.

## Troubleshooting

| Symptom | Likely cause | Fix |
|---|---|---|
| A Shipping Order cannot be found in the list. | The search text does not match the displayed sheet, client order, or job reference, or the list needs refreshing. | Clear or revise **Search**, then select the **Refresh icon (icn-update)** and search again using a more specific reference. |
| The required list column is not visible. | The current layout does not include the required column. | Select **Columns Chooser**, add the required column, and select **Update Current**. Alternatively, create a separate layout with **Add Layout**. |
| Changes to the current layout are not retained. | The layout was changed but not saved. | Select **Update Current** for an existing layout, or use **Save** after creating a layout with **Add Layout**. |
| A supporting document is not shown on the Shipping Order form. | The file may not have been attached or saved. | Select **Attach**, confirm that the file appears in **Files (files[])**, then select **Save** or **Save and Close**. |
