*Buyout to Order List*

## Overview

Use the Buyout to Order list to review buyouts that require external purchasing for sales jobs and projects. Purchasing officers and project managers can use this list to find relevant buyouts, review purchaser and supplier information, and focus on items that are planned or ready to order. You can also tailor the list layout and export the displayed information for further analysis.

## Workflow

1. Open the Buyout to Order workspace by selecting **buyout-to-order**. Review the displayed buyout records, including package number, sales job number, purchaser, offer type, bid due date, and sub-supplier.

2. Decide which group of records you need to review.
   - Select **All** to review all available records.
   - Select **Planned (BOM)** to focus on buyouts planned from the bill of materials.
   - Select **To Order (MRQ)** to focus on buyouts that require ordering.
   - Select **Tickets** when you need to work with ticket-related records.

   > **Tip:** Use the planned and to-order views to separate early purchasing requirements from buyouts that need purchasing action.

3. Find a specific buyout when the current list contains more records than you need. Enter a package number, sales job number, purchaser, supplier, or other identifying value in **Search**, then select **Apply filter** to refresh the list.

4. Open a buyout record when you need to inspect its form details. Select the relevant entry from the list and review the record before continuing your purchasing or project-management work.

5. Decide whether the current list layout meets your reporting need.
   - Select **Columns Chooser** to choose which columns are displayed.
   - Select **Standard Layout** to return to the standard layout.
   - Select **Add Layout** to create an additional layout. Enter a value in **Layout name**, then select **Save**.
   - Select **Update Current** to save changes to the active layout.
   - Select **Delete Current** when an active saved layout is no longer required, then confirm with **Delete** or abandon the deletion with **Cancel**.

   > **Warning:** Deleting the current layout removes that saved layout. Use **Standard Layout** when you only need to return to the default view.

6. Export the displayed list when you need to share or analyse the current result outside the application. Apply the required filters and column selection first, then select **Export**.

## Examples

A purchasing officer needs to review buyouts for sales job 18.0106 before supplier follow-up.

1. The purchasing officer opens **buyout-to-order**.
2. They select **To Order (MRQ)** to focus on buyouts requiring an order.
3. In **Search**, they enter `18.0106` and select **Apply filter**.
4. They review the matching record’s purchaser, offer type, bid due date, and sub-supplier information.
5. They select the record to open its form and review the buyout details.
6. Before sharing the result with the project manager, they use **Columns Chooser** to retain the relevant job, purchaser, due-date, and supplier columns, then select **Export**.

## Tips

> **Tip:** Filter the list before exporting so that the export contains only the buyouts relevant to the current job, purchaser, or ordering requirement.

> **Note:** Use a named layout when different users need different column arrangements for purchasing review, project follow-up, or supplier analysis.

## Troubleshooting

| Symptom | Likely cause | Fix |
|---|---|---|
| The required buyout is not visible. | The current view or filter is too restrictive. | Select **All**, clear or revise the value in **Search**, and select **Apply filter**. |
| The list does not show the columns needed for review. | The active layout has a different column selection. | Select **Columns Chooser** to adjust visible columns, or select **Standard Layout**. |
| Changes to a saved layout are not retained. | The current layout was changed but not updated. | Select **Update Current** after changing the column arrangement. |
