## Overview

Use **Projects** to view and organize project records held in the system. Sales representatives, account managers, project managers, purchasing officers, warehouse managers, and finance users can use this page to locate projects, review their displayed status and related organization details, and work with the appropriate project list.

The page provides views for all projects, archived projects, and planned projects. You can also adjust the list layout to display the information most useful for your role.

## Settings

Before working regularly with the project list, set up a layout that presents the project information you need.

1. Open **Data** > **Projects**.

2. To change the columns displayed in the list, select **Columns Chooser**. Choose the available columns required for your work, such as project name, full name, status, vendor, construction, engineering, or PMC information.

3. Decide whether to use the standard list design or save a tailored layout:
   - Select **Standard Layout** to return to the standard layout.
   - Select **Add Layout** to create a layout.
   - Enter a value in **Layout name** to identify the layout.
   - Select **Save** to save the layout.
   - Select **Cancel** to leave without saving.

4. When you are working in an existing saved layout, select **Update Current** to save changes to that layout. Select **Delete Current** if the saved layout is no longer required.

> **Tip:** Use a layout name that identifies its business purpose, such as “PM Project Review” or “Finance Project Status”. This makes the correct view easier to select later.

## Workflow

### Find or create a project record

1. Open **Data** > **Projects** and begin in the project list.

2. To locate an existing project, enter a project name or other known text in **Search**. Review the resulting list, including the displayed **Name**, **Full name**, and **Status** information.

3. To start a new project record, select **New**. Complete the project details in the record screen that opens, then save the record using the available record actions.

4. If you need to remove a project record from the current context and the action is available, select **Delete**. Confirm the deletion only after verifying that you have selected the correct project.

> **Warning:** Use **Delete** carefully. The Projects list can contain active commercial and operational project records, so verify the project name and status before deleting it.

### Review all projects

## All

The **All** tab provides the broadest view of project records. Use it when you need to search across the full project population and compare displayed information such as project name, full name, status, and the organizations involved in construction, engineering, PMC, or vendor roles.

Select **All** when you need to return to the complete project list after reviewing a more specific view. The available controls do not identify an action that moves a project into or out of this tab; this tab shows the overall project list.

### Decide whether a project requires an archived view

## Archived

The **Archived** tab contains project records presented as archived. Use this view to review older or inactive project entries separately from the broader list, while still using **Search** to find a specific project.

Select **Archived** to work in the archived project view. The available controls do not specify a record action that archives or restores a project, so do not assume that opening this tab changes a project’s status.

> **Note:** Reviewing a project in **Archived** is a viewing decision. The available screen actions do not establish an archive or restore transition.

### Review planned projects

The **Planned** tab contains projects presented as planned. Use it when you need to focus on upcoming work and identify planned project records by their displayed name, full name, status, and related organization information.

Select the planned tab to review these records. The available controls do not identify an action that moves a project into or out of the planned view; use the tab to view the records already presented there.

### Maintain the list view while working

5. When the current columns do not provide enough information for a decision, select **Columns Chooser** and adjust the displayed columns.

6. To save changes to a saved layout, select **Update Current**. If you do not want to retain changes, select **Cancel** where available.

7. To remove an unnecessary saved layout, select **Delete Current**. To delete a project record rather than a layout, use **Delete**; these actions have different purposes.

> **Tip:** Use **Update Current** only when you want all future use of the current layout to include your column changes. Use a new layout when the view is needed only for a particular role or reporting activity.

## Examples

A project manager needs to review planned work for a forthcoming construction project.

1. The project manager opens **Data** > **Projects**.

2. The project manager selects the planned tab to limit the review to planned project records.

3. In **Search**, the project manager enters a distinctive part of the project name, such as `Petroleum Port`, and reviews the matching record.

4. The project manager checks the displayed **Name**, **Full name**, and **Status** values and reviews the available vendor, construction, engineering, and PMC information.

5. Because the current list does not show the preferred combination of columns, the project manager selects **Columns Chooser** and adjusts the list view.

6. The project manager enters `Planned Project Review` in **Layout name**, selects **Add Layout**, and then selects **Save**. The saved layout can then be reused for future planned-project reviews.

7. When the review is complete, the project manager can select **All** to return to the full project list or **Archived** when a historical project record must be reviewed.

## Tips

> **Tip:** Use **Search** before changing layouts. A filtered result often provides the required project information without changing the columns for every user of a shared layout.

> **Note:** **Delete Current** removes the current saved layout, whereas **Delete** is the action available for deleting a project record. Confirm which item you intend to remove.

> **Warning:** The page shows project information used by multiple business functions. Avoid deleting records or layouts until you have confirmed that they are no longer needed by Sales, PM, Purchasing, Warehouse, or Finance users.

## Troubleshooting

| Symptom | Likely cause | Fix |
|---|---|---|
| The required project is not visible. | The list is filtered by the selected tab or the search text is too specific. | Select **All** and clear or revise **Search**. |
| Important project information is not displayed in the list. | The current layout does not include the required columns. | Select **Columns Chooser**, add the needed columns, and select **Update Current** or save a new layout. |
| A saved layout is no longer available. | The layout may have been removed using **Delete Current**, or a different layout is selected. | Select **Standard Layout** or create a replacement using **Add Layout**, **Layout name**, and **Save**. |
| An archived or planned project cannot be changed from its tab. | The available screen controls do not provide a documented archive, restore, or planning transition. | Use the tabs to review the relevant records. Do not assume that selecting **Archived** or the planned tab changes the project record. |
