## Overview

Use Products to view and maintain the product records used across Sales, Purchasing, Warehouse, and job-related activities. Sales representatives, purchasing officers, warehouse managers, project managers, and finance users can use this page to find products and manage the way product information is presented in the list.

Before working with a product, use the available search and layout controls to ensure that the required information is visible. The Products page includes records such as stocked or standard products, with product descriptions and related classification information.

## Settings

Configure the Products list layout before performing day-to-day searches or reviews. Layout settings control the arrangement of information displayed on this page; they do not create or change the underlying product records unless you use the available record actions.

1. Open **Configurations**, select **Company**, and then select **Products**.

2. To select the standard page arrangement, choose **Standard Layout**. Use this option when you want to return to the provided standard layout.

3. To create an additional layout, select **Add Layout**. Enter a value in **Layout name**, then use **Columns Chooser** to select the information you want to display.

4. Decide whether to retain or discard the layout changes:
   - Select **Save** to save a new layout.
   - Select **Update Current** to save changes to the layout currently in use.
   - Select **Cancel** to leave the layout action without saving.
   - Select **Delete Current** to remove the current layout.

> **Note:** Use clear, purpose-based layout names so that users can identify layouts intended for purchasing, Warehouse review, or product searches.

5. Use **icn icn-layoout** or **icn icn-settings** when you need to access the available layout or page settings controls. The available screen labels identify these controls; use them only when you need to change the presentation of the Products page.

## Workflow

### Find an existing product or create a new record

1. Open **Configurations** > **Company** > **Products** and review the product list.

2. When you need to locate an existing record, enter a product-related value in **Search**. Review the returned product rows to identify the required record.

3. When the required product is not available in the list, select **New** to begin a new product record. Complete the information presented by the system, then select **Save** to retain the record.

4. If you decide not to continue with the new record, select **Cancel** rather than saving it.

> **Tip:** Search for an existing product before selecting **New**. This helps prevent duplicate product records with similar descriptions.

### Review or change the current product view

1. Determine whether the current list provides enough information for your task. For example, a purchasing officer may need a different column arrangement from a warehouse manager reviewing Stock-related products.

2. Select **Columns Chooser** to adjust the displayed information for the current layout.

3. Choose one of the following decisions:
   - Select **Update Current** when the revised columns should apply to the current layout.
   - Select **Add Layout** when the revised columns should be saved as a separate layout. Enter **Layout name**, then select **Save**.
   - Select **Standard Layout** when you need the standard arrangement instead of a custom view.
   - Select **Cancel** when you do not want to keep the layout changes.

4. Use **icn-update** to refresh the available product information when required.

### Keep or remove a layout

1. Review the active layout and confirm that it is still needed.

2. If the layout should remain available, use **Update Current** after making any required column changes.

3. If the layout is no longer required, select **Delete Current**. Use this action carefully, as it removes the current layout rather than merely closing it.

> **Warning:** Do not use **Delete Current** to remove a product record. This control is provided with the layout controls and applies to the current layout.

## Contacts

The **Contacts** tab is the available tab view on the Products page. It displays product records in the current Products view, allowing you to search and review products using the configured list layout. Product entries in this view include product description and classification-related information, helping users distinguish between similar items.

Use **Search** to locate the relevant product record within this tab. The supplied controls do not identify an action that moves records into or out of the Contacts tab, so use this tab as the available product-list view and manage the displayed information through the layout controls.

## Examples

A purchasing officer needs to find a gasket product before preparing a Buyout-related purchasing activity.

1. Open **Configurations** > **Company** > **Products**.

2. In **Search**, enter a distinctive part of the product description, such as the gasket size or material.

3. Review the matching product records in the list. If the current columns do not make the products easy to distinguish, select **Columns Chooser**.

4. Add the information needed for the purchasing review to the displayed columns. If this view will be useful again, select **Add Layout**, enter **Purchasing Product Review** in **Layout name**, and select **Save**.

5. If the required product is found, use the product information displayed in the list for the next operational activity. If it is not found, select **New** to begin creating a product record, then select **Save** when the information is complete.

6. Return to **Standard Layout** when the purchasing-specific view is no longer needed, or keep the saved layout for future use.

## Tips

> **Tip:** Create separate layouts only when a distinct group of users needs a different product-list view. Use **Standard Layout** for general review.

> **Note:** Use **Update Current** only after confirming that the active layout is the one you intend to change.

> **Warning:** Select **Delete** or **Delete Current** only after verifying the item shown as current on screen. These actions are irreversible from the controls listed on this page.

## Troubleshooting

| Symptom | Likely cause | Fix |
|---|---|---|
| The required product is not visible. | The list is not filtered to the correct description, or the desired product is not present in the displayed results. | Enter a more specific value in **Search** and review the results. If no suitable record exists, select **New** to begin a record. |
| The product list does not show the information needed for review. | The active layout does not include the required columns. | Select **Columns Chooser**, adjust the displayed columns, and select **Update Current** or save a new layout with **Add Layout**. |
| A layout change was made by mistake. | The current layout was updated unintentionally. | Select **Standard Layout** to use the standard page arrangement. For future changes, use **Add Layout** before saving a separate view. |
| A layout was removed unexpectedly. | **Delete Current** was selected while that layout was active. | Recreate the required layout with **Add Layout**, enter a new **Layout name**, select the needed columns through **Columns Chooser**, and select **Save**. |
