# Production Orders

## Overview

Production Orders support the recording and review of products used for project-related assembly or production work. Project managers, purchasing officers, warehouse personnel, and finance users can use the Production Order entry screen to select the relevant record, review product quantities and units, attach supporting files, and save the information for later reference. Use the Production Order list to locate orders by sheet number, job number, responsible PM, order date, item description, or expected date.

## Settings

Before working with Production Orders regularly, you can configure the list layout to display the columns most useful to your role.

1. Open **PM** and select **Assembly Order** to display the Production Order list.

2. To use the default list presentation, select **Standard Layout**. This restores the standard arrangement of available columns.

3. To create a personal or task-specific list arrangement, select **Add Layout** and enter a name in **Layout name**. Use **Columns Chooser** to choose the columns to display, then select **Save**.

4. To revise the currently selected layout, make the required changes and select **Update Current**. To remove a layout that is no longer needed, select **Delete Current**, then confirm with **Delete**.

> **Note:** Layout changes affect how the Production Order list is displayed. They do not change the Production Order records themselves.

5. Use **Export** when you need an exported copy of the Production Order list currently displayed.

## Workflow

### 1. Locate the Production Order work area

Open **PM** and select **Assembly Order**. The list view displays Production Order records with information such as **Sheet no.**, **Job no.**, **P.M Responsible**, **Order date**, **Item description**, and **Expected**.

At this point, decide whether you need to find an existing Production Order or work on a new Production Order entry.

- To find a specific record, enter search criteria in **Search**.
- To review all available records, use **All**.
- To focus the list on the available planning or ordering views, use **Planned (BOM)** or **To Order (MRQ)**.

> **Tip:** Search by a distinctive value such as the job number, sheet number, or item description to reduce the number of records displayed.

### 2. Select the Production Order or related record

When the Production Order entry screen is open, use **Select...** to choose the required record or option available for the Production Order.

Review the product lines shown for the Production Order. The entry view displays product information with **Product**, **Used qty**, and **Unit**. Where the saved Production Order view is used, product usage information can also include **Returned qty**.

Use the displayed quantities as the operational record of material usage and returns. Confirm that the product and unit shown match the work being recorded before saving.

> **Warning:** Do not save the Production Order until you have checked the product quantities and units shown on the entry screen. The available screens do not provide a separate confirmation or completion status.

### 3. Decide whether to attach supporting documents

If the Production Order requires supporting documentation, such as a project document, ticket-related file, or other attachment, select **Attach**.

1. Select **Attach**.
2. Use **Select** to choose the file to attach.
3. Confirm the selection with **Ok**.

Attached files are shown through **files[]** on the Production Order screen.

If you need to work with tickets associated with the record, select **Tickets**. Use this action only when ticket information is relevant to the Production Order work you are recording.

### 4. Save the Production Order

After reviewing the selected record, product quantities, units, and attachments, decide how to finish your work:

1. Select **Save** to retain the Production Order and remain on the current screen for further review or updates.
2. Select **Save and Close** to retain the Production Order and close the current entry screen.

Use **Save** when you expect to continue checking the product usage, returned quantities, or attached files. Use **Save and Close** when the current Production Order work is complete.

### 5. Review the saved order in the list

Return to the Production Order list through **PM** and **Assembly Order**. Use **Search** to locate the saved record and review its list information, including the sheet number, job number, responsible PM, order date, item description, and expected date.

If the record is not immediately visible, switch to **All** before searching again. The **Planned (BOM)** and **To Order (MRQ)** controls provide additional list views, but the available screens do not indicate an action that moves a Production Order between these views.

## Examples

A project manager needs to record production activity for a project requiring a side channel water pump.

1. The project manager opens **PM** and selects **Assembly Order**.
2. In the Production Order list, the project manager uses **Search** to locate the relevant job or item description.
3. The Production Order entry screen is opened and the project manager uses **Select...** to choose the appropriate available record or option.
4. The project manager reviews the product line information, including **Product**, **Used qty**, and **Unit**. If returned material is recorded on the saved order, the project manager also checks **Returned qty**.
5. The project manager selects **Attach**, uses **Select** to choose the supporting project document, and selects **Ok**.
6. Because the order needs no further review, the project manager selects **Save and Close**.
7. The project manager returns to the Assembly Order list, searches for the relevant job, and verifies that the Production Order is available for review.

This process creates a saved Production Order record with the product usage information and any attached supporting files available from the Production Order screen.

## Tips

> **Tip:** Use **Save** instead of **Save and Close** when you need to remain on the Production Order screen to review product usage or attached files.

> **Note:** Use **Standard Layout** if a saved list layout no longer shows the columns required to identify Production Orders.

> **Warning:** The available Production Order screens do not show a status field or approval action. Do not assume that saving a record confirms, approves, posts, or closes any related project, purchasing, warehouse, or finance process.

## Troubleshooting

| Symptom | Likely cause | Fix |
|---|---|---|
| The required Production Order is not visible in the list. | The list is filtered or the search criteria are too specific. | Select **All**, clear or revise **Search**, and search by a sheet number, job number, item description, or responsible PM. |
| The list does not show the information needed for daily review. | The active layout does not include the required columns. | Select **Standard Layout**, or use **Add Layout** and **Columns Chooser** to create a layout that includes the required information. |
| A supporting document is not attached to the order. | The file selection was not confirmed. | Select **Attach**, use **Select** to choose the file, then select **Ok** before saving the Production Order. |
| Changes are not retained after leaving the entry screen. | The Production Order was not saved. | Select **Save** to retain changes, or select **Save and Close** to retain changes and close the screen. |
