## Overview

The Inventory application provides access to Warehouse information and stock views used to monitor goods received and stock held for project-related sales and purchasing activities. Sales representatives, project managers, purchasing officers, warehouse managers, and finance users can use this workspace to review stock by shipment or by product and to work with Warehouse records associated with jobs, products, receiving areas, purchase orders, and received quantities.

Use Inventory when you need to review the current Warehouse view, switch between stock perspectives, or save a personal layout that shows the columns most relevant to your role.

## Settings

Before reviewing stock, set up a usable Warehouse layout. The available layout controls allow you to choose which columns are displayed and save a named layout for later use.

| **Layout name** | Identifies the layout you are creating or editing. |
| **Columns Chooser** | Opens the column selection control for the Warehouse view. |
| **Add Layout** | Starts a new layout. |
| **Save** | Saves the layout you are working on. |
| **Update Current** | Updates the current layout. |
| **Delete Current** | Deletes the current layout. |
| **Delete** | Deletes the selected item in the layout workflow. |
| **Layout (icn icn-layoout)** | Opens layout-related actions. |
| **Settings (icn icn-settings)** | Opens available settings actions for the view. |

> **Tip:** Create a layout that reflects the information you need to review regularly, such as job number, product description, receiving area, purchase order reference, and received quantity.

## Workflow

1. Open the Inventory application and select **Warehouse** from the available application controls.

   If the access screen is displayed, enter your credentials in **Enter User Name** and **Enter Password**, then select **Login**.

   > **Note:** Use the Warehouse view as the starting point for reviewing inventory-related job and product records. The visible list can include sales job numbers, product descriptions, areas, positions, purchase orders, and received quantities.

2. Decide whether the current layout already shows the information you need.

   - If the visible columns are suitable, continue reviewing the Warehouse records.
   - If you need different columns, select **Columns Chooser** and adjust the displayed columns.
   - If you need layout actions, select **Layout (icn icn-layoout)** or **Settings (icn icn-settings)**.

   Use the list to identify the relevant job, product, receiving area, purchase order, or received quantity. Review records carefully when stock is connected to a specific job or Buyout activity.

3. Decide whether to save a new layout or revise the current one.

   - To create a layout, select **Add Layout**, enter a value in **Layout name**, configure the columns through **Columns Chooser**, and select **Save**.
   - To revise the active layout, make the required column changes and select **Update Current**.
   - To abandon a layout action before saving, select **Cancel**.
   - To remove a layout that is no longer required, select **Delete Current**. Where the layout workflow presents a selected item for deletion, use **Delete**.

   > **Warning:** Delete a layout only when you are certain it is no longer needed. If other users rely on the same column arrangement, confirm the intended layout before selecting **Delete Current**.

4. Decide which stock perspective answers your operational question.

   - Select **Goods Receipt** when your review concerns received goods.
   - Select **Stock (By Shipment)** when you need to review stock from a shipment perspective.
   - Select **Stock (By Product)** when you need to review stock from a product perspective.

   Use the selected stock view to support the next business decision. For example, a purchasing officer may review received quantities against a purchase order, while a project manager may review product-related stock for a sales job.

5. Refine or refresh the view when the displayed records do not provide the required focus.

   - Select **Filter (icn-filter)** to use the available filtering action.
   - Select **Update (icn-update)** to run the available update action for the view.
   - Return to **Warehouse** when you need to continue reviewing the Warehouse list and its configured layout.

   The screen does not provide a stock adjustment, transfer, reservation, or valuation action. Use the available Warehouse, Goods Receipt, and Stock views to review the records shown on screen.

## Examples

A project manager needs to check inventory information for a sales job before reviewing project requirements.

1. The project manager opens Inventory and selects **Warehouse**.

2. The Warehouse list shows records containing a sales job number, product description, area, position, purchase order reference, and received quantity. The project manager reviews the record associated with the relevant sales job and confirms that the expected product and receiving area are shown.

3. The project manager decides that purchase order and received-quantity information should remain visible for future reviews. They select **Columns Chooser**, confirm the required columns, select **Add Layout**, enter `Project Stock Review` in **Layout name**, and select **Save**.

4. To review the stock from a product perspective, the project manager selects **Stock (By Product)**.

5. If the project manager instead needs to focus on stock connected to a shipment, they select **Stock (By Shipment)**. If the question concerns goods that have been received, they select **Goods Receipt**.

The result is a saved Warehouse layout for reviewing job-related product information, together with the appropriate stock view for the question being investigated.

## Tips

> **Tip:** Use **Stock (By Product)** when the product is the starting point of your review, and use **Stock (By Shipment)** when the shipment is the starting point.

> **Note:** A Warehouse record can contain both commercial and operational information, including sales job references, purchase orders, areas, positions, and received quantities. Review the combination of fields rather than relying on one column alone.

> **Warning:** Select **Cancel** rather than **Save** if you opened a new layout but do not want to keep the changes.

## Troubleshooting

| Symptom | Likely cause | Fix |
|---|---|---|
| You cannot enter the Inventory workspace. | The access screen requires credentials. | Complete **Enter User Name** and **Enter Password**, then select **Login**. |
| A required field is not visible in the Warehouse list. | The current layout does not include that column. | Select **Columns Chooser**, add the required column, then use **Update Current** or create a layout with **Add Layout** and **Save**. |
| The displayed stock view does not answer the question. | The current view is not aligned with the required perspective. | Select **Goods Receipt**, **Stock (By Shipment)**, or **Stock (By Product)** as appropriate. |
| An unwanted layout remains available. | The layout has not been removed. | Select **Delete Current** for the active layout, or use **Delete** where a selected layout item is presented for deletion. |
