## Overview

Flags are maintained in **Applications > Configurations > Company > Flags**. Use this page to review the available flag entries, locate a specific entry, create a new entry when required, and export the displayed list for offline review.

This feature is relevant to users who maintain Company configuration records or need to verify that a flag is available before it is used elsewhere in the business process.

## Settings

No separate enablement options or flag-specific configuration fields are available in the provided Flags screen. The available configuration activity is to maintain the flag records themselves from the Flags list.

Use the **Settings (icn icn-settings)** action only when your organisation has instructed you to access additional settings. The provided screen does not identify any settings fields or their effects.

> **Note:** The Flags screen provides a list view with a **Search** field and filtering actions. It does not provide documented fields for defining a flag’s properties in the supplied screen data.

## Workflow

### 1. Decide whether the required flag already exists

Before creating a new flag, search the existing list. This avoids maintaining duplicate entries with similar names.

1. Open **Configurations > Company > Flags**.
2. Enter a keyword in **Search**.
3. Select **Apply filter** to display records matching the search criteria.
4. Review the resulting list and decide whether an existing flag can be used.

> **Tip:** Use a distinctive word from the expected flag name when searching. If you are unsure of the exact wording, search with a shorter term first.

### 2. If the flag exists, review or export the filtered results

When the required flag is already listed, no new record is needed. You can retain the filtered list for review or export it.

1. Keep the relevant search criteria applied with **Apply filter**.
2. Review the matching flag entries in the list.
3. To create an external copy of the displayed information, select **Export**.
4. If you need to return to the unfiltered list, remove or revise the value in **Search**, then select **Apply filter** again.

> **Note:** Export only the list currently displayed after applying the required search or filter criteria.

### 3. If the flag does not exist, create a new record

Create a flag only after confirming that an equivalent entry is not already available.

1. Select **New**.
2. Complete the fields presented for the new flag record.
3. If file information is required for the record, review **files[]** and use **Attach** where appropriate.
4. Select **Ok** to confirm the entry.
5. If you decide not to proceed, select **Cancel** instead.

The supplied screen identifies **Ok** and **Cancel** as the available decision actions. **Ok** confirms the current entry, while **Cancel** stops the current action without continuing.

> **Warning:** Do not create a new flag merely because a search returns no result after a narrow filter. First broaden or revise the search and apply the filter again.

### 4. Maintain related information only when required

The Flags screen also provides **Tickets** and **Attach** actions. Use these actions only when your internal process requires ticket-related activity or attached files for the flag record.

1. Select **Tickets** when you need to work with ticket-related information available from the record.
2. Select **Attach** when you need to add or manage files associated with the record.
3. Review **files[]** to confirm that the required file information is present.

The provided screen does not define the content or lifecycle of tickets and attachments. Follow your organisation’s established process when using these actions.

### 5. Refresh the displayed information when needed

If you expect the list to have changed, use the available update action before searching, filtering, or exporting.

1. Select **Update (icn-update)**.
2. Use **Search** and **Apply filter** again if you need to locate a specific flag.
3. Select **Export** only after the required results are visible.

## Examples

A project manager needs to confirm whether a flag for a planned client visit is already available before requesting a new configuration entry.

1. The project manager opens **Configurations > Company > Flags**.
2. In **Search**, they enter `client visit`.
3. They select **Apply filter**.
4. The list displays matching flag entries. The project manager reviews the results to determine whether an appropriate existing flag is available.
5. If an existing entry is suitable, the project manager keeps the existing record and, if needed, selects **Export** to provide the filtered results to the relevant team.
6. If no suitable entry exists, the project manager selects **New**.
7. In the new record entry, they complete the fields requested on screen for the intended client-visit flag.
8. If supporting material is required, they select **Attach** and verify the related information under **files[]**.
9. They select **Ok** to confirm the new flag record.

The result is a confirmed flag entry that can be located later by searching for `client visit` and selecting **Apply filter**.

## Tips

> **Tip:** Search before creating. This is the most reliable way to avoid duplicate flags with nearly identical wording.

> **Note:** Use **Cancel** when the new record is not ready to be confirmed. Do not use **Ok** until the displayed record information has been reviewed.

> **Warning:** A filtered export may not include all flag entries. Clear or adjust **Search** and select **Apply filter** before exporting if you require a broader list.

## Troubleshooting

| Symptom | Likely cause | Fix |
|---|---|---|
| The required flag is not shown. | The search text is too specific, incomplete, or incorrect. | Revise the value in **Search** and select **Apply filter** again. Try a shorter or alternative keyword. |
| The list still does not show expected results after searching. | The displayed information may need to be updated. | Select **Update (icn-update)**, then repeat the search and select **Apply filter**. |
| A new flag was started but should not be created. | The record is not ready for confirmation or an existing flag was found. | Select **Cancel**, then search the list again using **Search** and **Apply filter**. |
| The exported list does not contain the expected records. | The export was created from a filtered display. | Review the current value in **Search**, select **Apply filter**, confirm the displayed list, and then select **Export** again. |
