# Stock by shipment

Use the warehouse stock views to read quantities by shipment or by product, then adjust the
columns and filters shown in the list.

## Stock views for warehouse work

Stock views are reference lists for checking inventory after warehouse receiving and inspection
work. **Stock By Shipment** groups the view around incoming shipment information; **Stock By
Products** groups it around products.

The warehouse list also includes **Receiving**, **Stock By Shipment**, and **Stock By Products**.

## Before you start

Prerequisites

- Have access to the Warehouse list.
- Have a saved list layout available for the view.
- Know whether you need shipment-oriented or product-oriented stock information.

The list controls appear only when the relevant subscription and list settings allow them. The
grid appears after its list layout is available.

> Your saved layout determines which headers you see. Read the headers currently displayed rather
> than relying on a fixed column order.

## Find a stock view

Open a stock reference list from the Warehouse tabs.

Prerequisites

- You can access the Warehouse list.

Steps

1. Open the Warehouse list.
2. Select one option from the table.

   | If you need to… | Select or open |

   | Check stock grouped by product | **Stock By Products** |

**Result:** The selected list opens with its active tab and the headers provided by its saved
layout.

## Compare the two stock views

**Stock By Shipment** is the list for reading each stock row against its shipment-related
information. Its displayed headers are grouped below.

**Stock By Products** is the product-oriented list. Use the headers shown in that list because the
saved layout controls which product columns appear.

The list toolbar shows **Refresh**, **Table Layout**, and **Settings**.

## Adjust the displayed view

Use this read-only procedure to inspect the available layout and list settings without changing a
saved layout or applying a filter.

Prerequisites

- Open either stock list.
- Confirm that **Table Layout** or **Settings** is visible in the toolbar.

Steps

1. Select **Table Layout**.
2. Read the available layout choices.

   | Start a new layout | **Save New Layout** |
    | Enter the name for a new layout | **Layout name** |
    | Change the current saved layout | **Update Current** |
   | Remove the current saved layout | **Delete Current** |
   | Review column choices | **Columns Chooser** |
   | Expand columns to fit their contents | **Expand column width** |

   The layout menu also provides the controls for creating or removing a saved layout. **Save New
   Layout** opens the layout-name form. **Save** stores the new layout. **Cancel** closes the form.
   **Delete Current** opens the delete-layout submenu. **Delete** removes the selected layout.
   **Cancel** closes the submenu.

3. Select **Settings**.
4. Read the available list settings.

**Result:** The selected menu is open and its available view options are visible. The headers in
the grid continue to follow the saved layout.

## When a view or control is unavailable

Use the table below when a list opens with fewer controls or different headers.

| What you see | What it means | What to do |
|---|---|---|
| The grid has no fixed set of headers | The displayed columns come from the saved list layout. | Work from the headers currently shown in the grid. |
| The search panel is not shown | Search is not available through the list's search panel. | Use the headers and list controls that are visible. |
| The grid's column chooser is unavailable | The grid-level column chooser is disabled, although the layout menu can show **Columns Chooser**. | Use the saved layout that is already active. |
| **Import** is unavailable | Import is not an available list action. | Use the list for reference. |
| A product row has no edit link | The product list does not provide an active edit link in its action column. | Use the stock view for reference. |

When a layout operation reports a message, match the exact text below to the operation you were
using:

| Entering a layout name already in use | `Duplicate Layout Name` |
| Saving a new layout | `Layout saved Successfully` |
| Updating a saved layout | `Error Saving Layout` |
| Trying to change the standard layout | `You can't change the standard layout.. please, create new layout` |
| Trying to modify the default layout | `Default Layout Cannot be modified` |
| Trying to delete the default layout | `Default Layout Cannot be deleted` |
| Deleting a saved layout | `Data Deleted Successfully` |
| Deleting a layout when the delete operation fails | `Error Deleting the Layout` |
| Loading the default layout | `Couldnt Load Default Layout` |
| Saving a new layout when its save error path reports a failure | `Error Saving Layout` |
| Setting the current layout when its error path reports a failure | `Error setting current layout` |
