# Sales job record

## Sales job record overview

A sales job record brings the commercial work for one opportunity together as it moves from early
opportunity work through proposal, order, and completion.
Use this page to recognize the record's work areas and choose the focused page for the work you
need to complete.

The saved record also has a workflow chevron bar, shared job information, stage panels, an item
area, assessment fields, and companion tabs. A new record shows `New` in the job-number breadcrumb;
after saving, the breadcrumb shows the job number.

> **Note:** A collapsed stage panel shows a summary bar with the client, vendor, stage, primary
> action, and three-dot menu. Select the summary bar to expand it.

## Before you open the record

Before you open a sales job record, know whether you are opening saved work from a list or
starting a new record. Existing-record actions are subject to the current stage, edit access,
subscription access, page availability, and unsaved-record checks.

Prerequisites

- You are signed in to PAMS.
- For an existing record, you know which sales-job list contains the work.
- For a new record, you know which work type you are starting.
- You have the access needed for the action you intend to take.
- You know whether the record is saved; stage actions on an unsaved record are not the same as
  actions on an existing record.

Steps

1. Open **Sales**.
2. Select **Inquiries**.
3. Select **Add new**.
4. Select **Inquiry**.

   Selecting **Add new** opens the new-record flow. Selecting **Inquiry** opens the new inquiry
   record.

If the record is unavailable, a subscription condition, page condition, current stage, edit
permission, or unsaved-record condition controls which work area and actions appear.

**Result:** You know whether to open a saved record or start a new one, and which conditions can
change the work available on the record.

## Find and open a sales job record

The sales-job list is where you choose the work stage before opening a record. The list displays
the columns **Inquiry date**, **Inquiry type**, and **Inquiry stage**.

Prerequisites

- You are signed in.
- You know whether you are looking for **Potentials**, **Inquiries**, **Offers**, **Orders**, or
  archived work.

Steps

1. Open **Sales**.

2. Select **Inquiries**.

3. Select the list tab that matches the work you need to review.

4. Read **Inquiry date**, **Inquiry type**, and **Inquiry stage** for the row you want.

5. Select the row to open its sales job record.

6. Confirm that the saved record opens with its workspace and companion tabs.

**Result:** The selected sales job record is open, and the record's lifecycle tabs are available
for inspection.

The columns in the list depend on the saved list layout. Work from the headers visible in your
list rather than expecting every account to display the same columns.

## Read the lifecycle work area

The lifecycle work area is the part of the record that lets you inspect the commercial stage and
the stage-specific record panel. Selecting a lifecycle tab changes the displayed panel; it does
not, by itself, change the job's stage.

Steps

1. Select the lifecycle panel that matches the work you need to inspect.

2. Read the stage readout shown with the record, such as `Offer/Expired`.

3. Read the workflow chevron bar to orient yourself in the record's current stage.

4. Save a record change owned by the focused page.

   The header **Save** remains disabled until job-level changes exist. A panel-level **Save**
   appears for edits inside the open stage panel. Successful panel saves can show `Inquiry updated
   successfully` or `Offer updated successfully`.

**Result:** The selected lifecycle panel is displayed, and the record remains in the same stage
until a stage action is completed on its owning page.

The record also exposes **Extend Offer Validity** and a command menu. The command menu can show
**Order**, **Revision**, **Alternative Offer**, **Enable Editing**, **Print**, **Cover letter
template**, **Commercial offer template**, **Technical offer template**, **Inquiry Cancelled By
Client**, and **Lost**. Use [Offers](offers.md), [Orders](orders.md), and [Order completion](from-orders-to-delivered.md)
for the procedures behind those stage actions.

### When a lifecycle action stops

The record's action area can return these messages. Read the exact message, then continue on the
focused page for the stage or work area that raised it.

If a save fails, the validation summary can show `Please Solve the Following Issues :` followed
by field-specific lines. Item validation remains with [Sales job items](sales-job-items.md).

If you submit an offer with a zero price, the confirmation asks:
`Offer price zero | Your Offer Price Is Zero! | Are you sure you want to deliver free of charge?`
Choose **No** to close the confirmation or **Yes** to continue the selected action.

### Out of scope messages

The following item-level messages belong to [Sales job items](sales-job-items.md), not to the
record map:

## Review shared information and assessment

Shared information identifies the job and its parties; assessment records how the opportunity is
currently judged. Review these areas before moving to item or stage-specific work.

Steps

1. Read the fields in the shared-information area.

2. Read **Contact to Decision Makers**, **Budget Availability**, **Chance in Competition**, and
   **Order chance** in the assessment area.

3. On an existing record, read the end-user account value, the **Reset** link beside the salesperson
   value, and **Time Frame** when those values appear.

   After saving, **Salesperson Responsible** is shown as text with a **Reset** link.

4. On a new record, select **Salesperson Responsible**, **Product Type**, **Job Title**, **Client**,
   **Vendor**, and **Bid Due Date** when the required marker appears beside the field.

   field-level entry, conditional requirements, and validation handling.

**Result:** You can distinguish shared information from assessment and know which visible fields
need attention before detailed work continues.

On the inquiry surface, **Inquiry Date** fills with today, **Expected Order Date** is calculated
from **Time Frame**, and **Time Frame** displays as a calculated period. The end-user field defaults
to the chosen **Client**, and **Requested Offer Type** defaults to `Firm`. The offer panel can show a
computed expiry date for **Validity Period** and an **Equivalent Booking** aggregate.

The assessment cluster combines **Contact to Decision Makers**, **Budget Availability**, and
**Chance in Competition** with the calculated rating and **Order chance**.

The new-record surface also shows **Client Inquiry Number**, **Inquiry Date**, and **Requested Offer
Type**. The existing record can show **Client**, **Vendor**, **Bid Due Date**, **Expiry Date**, and
**Offer Price**. The exact visible field set depends on the record route and the available setup.

## Read the item area

The item area lists the products or services that make up the sales job. Each row is identified by
its description, unit, and quantity; pricing and delivery details belong to the focused item page.

Steps

 1. Read the item description, unit, and quantity in the new-record item grid.

 2. In an existing record, read the item description and unit, plus **Qty**, **Unit Price**,
    Discount (%), **Item Price**, and **Currency** when those columns appear.

3. If the quantity is rejected, match the message exactly:
   `Invalid input. The value must be greater than 0 and cannot exceed 999,999.00`.

4. If a non-negative value is rejected, match the message exactly:
   `Invalid input. Please enter a non-negative value`.

5. Open [Sales job items](sales-job-items.md) for item entry, pricing, quantity, unit, invoice,
   and delivery rules.

**Result:** You can recognize the item grid and route item-level work to its focused page.

On a new item row, **Unit** defaults to `Pieces` and **Qty** defaults to `1.00`.

## Hand off companion work

Companion work is the information maintained around the sales job after the main commercial
record is identified. Use the tab that answers the question you are working on, then continue on
the focused page rather than repeating its detailed controls here.

Steps

1. Open the companion-tab area on the sales job record.

2. Choose the work area that matches your next action.

3. Select the available companion tab for discussion, tasks, activities, attachments, contacts,
   guarantees, or history.

 4. Select the available area for principal invoices, pricing quotations, job costing, order
    completion, or reference data.

 5. If the discussion or task area is not available, continue with the work area that is visible and
   use [Sales job comments and tasks](sales-job-comments-and-tasks.md) when the feature is available.

**Result:** You know which companion work area to open and which focused page owns the next task.

The discussion area includes a rich-text editor, **Post**, and comment search. The available
companion tabs depend on the saved record, subscription, and current setup.

The record's shared child components can raise messages owned by their focused pages. Those
messages stay with the relevant page so that the response matches the action that produced them.
