# Order activation conditions

## Order activation conditions at a glance

An order activation condition is a named requirement that can be used in the activation-conditions
area of a sales order. Maintain the names on this page, then use them on the order where you track
whether each condition has been applied, completed, and dated.

The order-side table names the condition and records **Applied**, **Completed**, and **Completed
on**. A condition name maintained here is therefore the label you recognise when reviewing the
order's activation requirements.

## Before you start

The Order activation conditions list is available through the configuration area. Access is guarded
by the signed-in access check, and the list depends on the configuration subscription feature.

**Prerequisites**

- Sign in with access to the configuration area.
- Have the condition name you want to maintain ready.
- If the list is replaced by an upgrade surface, use the subscription row in [Handle unavailable
  actions and messages](#handle-unavailable-actions-and-messages).

The available actions also depend on the page's permissions. The list requests permission for
import and export, and the page controls determine whether **New**, edit, or delete actions are
available. The **Name** field is required when you create or edit an entry.

## Find the Order activation conditions list

Reach the reference list and recognise the correct sales configuration page.

**Prerequisites**

- Sign in with access to the configuration area.

**Steps**

1. Open the configuration navigation.
2. Open the Sales settings list.
3. Select **Order activation conditions**.
4. Confirm that the selected **Order activation conditions** entry is shown in the navigation.
5. Confirm that the page title is **Order activation conditions**.

The list is part of the sales configuration navigation alongside **Lost Reasons**, **Regret
Reasons**, **Cancellation Reasons**, **Order Cancellation Reasons**, **Units**, **Delivery Terms**,
**Payment Methods**, **Guarantee Types**, **Account Types**, **Offer Status**, **Order Status**,
**Inquiry Status**, and **Activity Purpose**. Select one of those entries when your next task uses
that reference list instead.

**Result:** The Order activation conditions list is open. **New**, **Refresh**, and **Settings** are
visible on the page.

## Understand the list and fields

The list uses one visible subject field: **Name**. Four rows were visible in the list, and the rows
appear without column headings.

| Other configuration values | Not displayed in the list. |

The visible list column is **Name**. The list does not have a subject-specific tab; the sales
configuration navigation provides the route to sibling reference lists.

## Use the maintained conditions in sales orders

Use the order panel when the activation-conditions feature is included. The order-side area lets
you insert the current condition names and track each one through application and completion.

**Steps**

1. In the order panel, select **Order activation conditions**.
2. If the order has no conditions, select **Insert activation conditions**.
3. In the condition table, review the condition name in the condition column.
4. Select **Applied** for a condition when the requirement has been requested.
5. Select **Completed** after **Applied** is selected.
6. Enter or select **Completed on** after **Applied** and **Completed** are selected.

The order-side controls follow these rules:

| Mark the requested condition complete | **Completed** (yes/no), after **Applied** is selected |
| Record when completion occurred | **Completed on**, after **Applied** and **Completed** are selected |
| Identify which condition you are reviewing | The condition-name column |

The **Completed on** date is constrained by the order date and today.

> **Note:** **Completed** remains unavailable until **Applied** is selected. **Completed on** remains
> unavailable until both **Applied** and **Completed** are selected.

**Result:** The order's activation-conditions area shows the maintained condition names and the
available applied, completed, and completion-date controls.

## Add and maintain a condition entry

Use this procedure to maintain the names that appear in the order-side condition table.

**Prerequisites**

- Open the Order activation conditions list.
- Have the condition name ready for a new or changed entry.

**Steps**

1. Select **New**.
2. In the new-item popup, enter the condition name in **Name**.
3. Activate **OK** to submit the entry.
4. For an existing entry, choose the required action.

   | Leave a delete menu without removing the entry | Open the row delete menu. |
   | Remove an entry | Open the row delete menu. |

5. If you selected the edit option, change **Name**.
6. If you selected the edit option, activate **OK**.
7. If you selected the cancel option, select **Cancel**.
8. If you selected the delete option, select **Delete** when more than one row exists.
9. When export is available, select **Export**.

The new-item popup shows **Name** with a required marker. The row edit action has no text label.
Selecting a row opens its edit surface when editing is available. Deletion is blocked when the list
contains only one item. The save operation validates the form before it calls the list service; a
successful create adds the new row, and a successful edit updates the existing row.

**Export** opens the export dialog when it is available. The dialog presents an export option and
its **Export** action.

**Result:** The condition list shows the maintained entry after a successful create or update, or
the row remains in the list after **Cancel** closes the delete menu.

## Handle unavailable actions and messages

The list can show a different surface when the subscription feature is not included, and individual
actions depend on the page's configuration and permissions.

|---|---|
| The subscription excludes the configuration feature | The upgrade surface replaces the grid. |
| New access is available | **New** is available when the new-button setting allows it. |
| Edit access is available | The row edit action and row-click editing are available. |
| Delete access is available | The row delete menu is available. |
| Import or export access is available | The corresponding list action is available after its permission check. |
| The list contains one item | The delete operation shows `Must have at least one item`. |

When a required value is missing, the form displays `Name is required`. A shared required-field
validation can display `This Field Is Required`. When a filter contains forbidden characters, the
page displays `Forbidden characters detected. Please remove them and try again.`

## Continue with sales-order work

The maintained names continue into the activation-conditions area of the sales-order record. From
there, use the order-side table to review **Applied**, **Completed**, the condition name, and
